We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support a top-performing Realtor. This role is perfect for someone who thrives in a fast-paced environment, enjoys juggling multiple priorities, and has a passion for real estate and client service. The Executive Assistant will manage day-to-day operations, ensure seamless communication, and help keep transactions and marketing efforts running smoothly.
Key Responsibilities
Administrative Support: Manage calendars, schedule appointments, coordinate meetings, and handle correspondence.
Transaction Management: Assist with preparing contracts, disclosures, and other required documentation; track transaction timelines from contract to close.
Client Relations: Serve as a professional and friendly point of contact for clients, vendors, and partners, ensuring excellent service.
Marketing & Social Media: Coordinate listing marketing, update MLS entries, prepare property flyers, newsletters, and manage online/social media presence.
Database Management: Maintain and update CRM systems with client information, leads, and follow-ups.
Research & Reporting: Provide market research, prepare comparative market analyses, and generate reports as needed.
Event Coordination: Help organize open houses, client appreciation events, and community outreach activities.
General Support: Handle errands, office organization, and special projects to allow the Realtor to focus on client-facing activities.
Qualifications
Proven experience as an Executive Assistant, Administrative Assistant, or similar role (real estate experience strongly preferred).
Exceptional organizational and time-management skills with the ability to prioritize and multitask.
Strong written and verbal communication skills.
Proficient in Microsoft Office Suite, Google Workspace, and CRM platforms (experience with MLS systems and transaction management software is a plus).
Social media savvy and basic marketing/design skills preferred.
High level of professionalism, discretion, and confidentiality.
Ability to work independently and as part of a team in a fast-paced environment.
