The opportunity 

Are you ready to drive transformational change and make a real impact? Join Heart & Stroke as a Project Manager and play a pivotal role in delivering innovative projects that span IT and business process improvement. In this dynamic position, you'll lead cross-functional teams, collaborate with senior leaders, and help shape the future of our organization. 

Reporting to the Senior Manager of our Project Management Office, you'll be responsible for planning, executing, and closing projects that require creativity, resourcefulness, and a passion for results. Your expertise in project management will be key as you guide stakeholders through process re-engineering, manage complex deliverables, and ensure seamless integration across departments.

This position is a 12-month contract with hybrid work arrangements. Although most duties will be carried out remotely, applicants must live within the GTA and be able to travel to the Toronto office (Yonge & Eglinton) when required for business purposes.  This role offers a hiring range of $85,000 to $95,000, aligned with our compensation framework and your experience and professional background.   

How you will make an impact every day 

Project deliverables and task management  

  • Responsible for coordinating all project deliverables, managing the project through completion, and ensuring adherence to PMO standards and established procedures. 

Project Planning  

  • Develop and oversee comprehensive project plans, schedules, and work breakdown structures, ensuring all dependencies are identified and managed effectively. 
  • Lead end-to-end project lifecycle activities, including requirements gathering and documentation, process mapping, RFP and vendor selection, and coordination with IT on data migration and quality assurance. 
  • Manage all phases of system and vendor-related deliverables, covering contract review, technical design, testing (QA, UAT), and deployment to production. 
  • Monitor and Control  
  • Oversee vendor and stakeholder communications to ensure timely completion of project deliverables and maintain consistent expectations. 
  • Collaborate with leadership to establish project steering committees and proactively manage risks, opportunities, and issues throughout the project lifecycle. 

Communication and Reporting  

  • Effectively communicate project deadlines, monitor progress through key deliverables and milestones, and maintain consistent, open communication with both the core project team and vendor implementation teams to ensure timely completion of all deliverables. 
  • Engage regularly with PMO leadership and stakeholders to proactively identify and address issues, changes, and resource needs; facilitate change management processes for enterprise-level projects and ensure lessons learned and project documentation are accurately captured and accessible within the PMO. 

Who we need 

Education 

  • Bachelor's degree in Healthcare, Information Technology, Business, or related field or equivalent work experience.  
  • PMP Certification considered an asset

Experience 

  • 3-5 years of project management experience, with a focus on IT initiatives and business process improvement  
  • Experience managing medium to large scale projects, with a high degree of complexity, from both a business and technology focus  
  • Proven project success in working on large projects, involving multiple departments, on time and within budget  
  • Experience working with a national organization with multiple sites is an asset.  
  • Experience with CRM Salesforce migration in the fundraising space considered an asset.  

Skills  

  • Strong project planning and project management skills, process mapping, negotiation skills, problem solving, stakeholder management, and analytical skills   
  • Advanced MS Office, SharePoint knowledge.  
  • Knowledge of Smartsheet is considered an asset  
  • Solid understanding of system configurations and data flow   
  • Excellent verbal/written communication and presentation skills to effectively communicate with stakeholders across the organization, including senior and executive management  
  • Tenacity to coordinate resolution of reported issues  
  • Excellent attention to detail and demonstrated ability to work in a fast-paced environment   
  • Ability to create or enhance support documents and quick reference guides on assigned topics  
  • Bilingualism (English/French) is considered an asset
