About this Role
The Office Services Administrator is responsible for administrative and operational support of office services functions for the Albion Road and Design Center (2515 St. Laurent) locations. This position will also provide general support to the Colonnade office.
This position will play a key role in employee experience and be involved in tasks ranging from staff communications, support of company events, office logistics, service contract and repair coordination, procurement, and hospitality.
Key Responsibilities
- Support the day-to-day operations of assigned office locations, ensuring spaces function effectively for employees and visitors.
- Lead office hospitality and catering support, including weekly management meetings and ad-hoc staff requests, ensuring timely coordination and setup.
- Lead the coordination and release of all CTC and TD Place season ticket events, ensuring ticketing, catering, and related logistics are completed within required timelines.
- Lead the organization of office seasonal events, décor, and accessories, and support company events and initiatives as required.
- Respond to general maintenance or facility issues as they arise, coordinating follow-up or service support where required.
- Act as a central point of contact for office operations and facility-related requests, coordinating with internal teams and external service providers as needed.
- Provide administrative and coordination support related to office operations, building access, service contracts, documentation, and communications.
- Support reception coverage and collaborate with reception staff to maintain shared spaces to a professional standard.
- Assist with office logistics, space coordination, workstation readiness, and training room setup in partnership with HR and IT.
- Maintain organized records, vendor information, and documentation, and perform other related duties as required to support efficient office operations.
Education and Experience Requirements
- Strong customer service with the ability to communicate clearly and professionally with a wide range of audiences, both verbally and in writing.
- Demonstrated ability to manage multiple priorities, stay organized, and maintain focus in a fast-paced, interruption-heavy environment.
- High level of attention to detail, sound judgment, and discretion, with the ability to handle confidential and sensitive information appropriately.
- Ability to work independently, troubleshoot issues, and build effective working relationships with internal stakeholders, vendors, and service providers.
- 2–4 years of related administrative experience, with working knowledge of Microsoft Office and SharePoint.
- A valid Ontario driver's license and regular access to a vehicle is required to support catering pickups, event logistics, and office-related errands.
