I run Moxie Barbell, an online strength, nutrition, and health behavior change coaching business for high-achieving women who are tired of the all-or-nothing cycle. I help clients build strength, confidence, and self-compassion through training and nutrition support, while weaving in psychology-based coaching to address the mindset patterns that keep them stuck.
I'm looking for a reliable, detail-oriented virtual assistant to help me keep client operations organized and publish daily short-form content.
This role is ideal for someone who enjoys systems, checklists, and consistent daily execution. You don't need fitness expertise, but you do need to be organized, proactive, and comfortable working inside tools like Notion, Canva, Instagram, TikTok, Linkedin, and client facing platforms.
Core responsibilities
• Client operations tracking (Notion)
• Monitor daily/weekly notifications and due dates in my Notion databases
• Update statuses accurately (e.g., task sent, reminder sent, completed)
• Archive/clear items once completed and keep trackers clean and current
• Everfit (client facing portal) admin
• Add client tasks from templates (check-ins, progress photos, forms)
• Send simple client nudges/messages when needed (using provided scripts)
• Confirm completion based on platform notifications before marking items done
• Social media publishing (6 days/week)
• Post one reel per day to Instagram and TikTok using provided captions/assets
• Set cover images correctly and ensure audio levels are appropriate for voiceovers
• Manage Instagram trial reels (share to everyone the next day when needed)
• Update my content tracker after posting so we always know what's live
Occasional/bonus tasks (as needed)
• Light LinkedIn posting (using provided caption/video)
• Simple content editing tweaks
• Graphic Design
•Use existing brand guidelines to create guides, presentations, and other content when provided with copy
What I'm looking for
• Extremely dependable: this work is recurring and time-sensitive
• Strong attention to detail: you double-check before marking things complete
• Clear communicator: you flag issues early and ask smart questions
• Comfortable with repeatable workflows and following SOPs
• Tech-savvy and quick to learn new tools
Tools you'll use
Notion, Everfit, Canva, Instagram, TikTok, Google Drive/Docs (and occasionally LinkedIn)
Schedule + time expectations
• Ongoing role, 5-6 days/week (Mon–Sat)
• Saturday's only task is posting 1 reel but I'm amendable to doing that myself if weekends are a deal breaker
• Daily tasks usually take about 20–45 minutes total once you're up to speed
• I'm anticipating 2-3 hours/week to start with the opportunity to grow into more based on your performance
• Timing is flexible, but posting and notifications should be handled consistently each day
Contract duration of less than 1 month. with 30 hours per week.
