Overview
I run a high-volume professional services firm focused on federal R&D tax credit processing. I'm hiring a sharp, detail-oriented Virtual Assistant to support CRM administration, client intake setup, and workflow execution inside HubSpot.
This role is operational — not sales — and requires excellent organization, accuracy, and follow-through.
Core Responsibilities
HubSpot Admin + Pipeline Support
Create and update Deals (company-based naming only)
Move deals through defined pipeline stages
Log notes from calls and email activity
Create and assign follow-up tasks
Client Intake Execution
Prepare client onboarding emails using templates
Insert secure upload links and correct attachments
Track which documents are pending vs received
Maintain clean records for processing handoff
Snippet + Template Management
Save and organize email snippets in HubSpot
Use approved messaging only (no improvisation)
Required Skills
Strong English writing (professional, concise)
HubSpot experience preferred (CRM, Deals, Tasks)
Extremely detail-oriented
Reliable daily communication and execution
Comfortable working with checklists and SOPs
Confidentiality (Important)
This role will NOT have access to sensitive tax returns or client financial archives. All work is administrative and workflow-based only.
Hours + Compensation
Start: 10–15 hrs/week
Scale to: 30–40 hrs/week
Compensation: Competitive, based on experience
Long-term role for the right person
Contract duration of more than 6 months. with 30 hours per week.
