Position Overview
Smith Family Insurance Agency is seeking a detail-oriented, proactive, and customer-focused Virtual Assistant to support daily operations. This role is critical in helping our agency provide exceptional service to clients while maintaining efficient administrative and sales processes. The ideal candidate is organized, tech-savvy, and comfortable working in a fast-paced insurance environment.
Key Responsibilities
Administrative Support
Manage emails, calendars, and appointment scheduling
Maintain accurate client records in the agency management system
Prepare documents, proposals, and policy summaries
Process new business applications and renewals
Handle data entry and file organization
Client Service Support
Respond to client inquiries via phone, email, and text
Assist with policy changes, billing questions, and coverage requests
Follow up on pending documentation
Send renewal reminders and policy updates
Sales & Marketing Assistance
Follow up on leads and referral opportunities
Schedule sales appointments
Assist with email campaigns and social media updates
Track and update sales pipelines
Operations Support
Coordinate with carriers and underwriters
Request quotes and compare coverage options
Monitor task management systems
Support compliance and documentation requirements
Qualifications
Previous experience in insurance, customer service, or administrative support preferred
Strong written and verbal communication skills
Excellent organization and time management abilities
Proficiency with CRM systems, Microsoft Office, and Google Workspace
Ability to handle confidential information with professionalism
Self-motivated and able to work independently
Preferred (Not Required)
Insurance license (Property & Casualty and/or Life & Health)
Experience working with agency management systems
Knowledge of underwriting and quoting processes
