About This Project
I'm a founder launching a multi-platform publishing, education, and media ecosystem. I have the complete strategy, brand guidelines, content, and architecture mapped out — I need a sharp, tech-capable virtual assistant to help me configure and connect the full technology stack so the system actually runs.
This is not a "check my email and schedule meetings" VA role. This is hands-on tech setup and operations — connecting platforms, configuring APIs, building automations, and getting a real digital infrastructure live and functioning.
The Ecosystem Includes
2 WordPress websites (content + corporate)
AI-powered content pipeline (Claude API + automations)
Email marketing system (ConvertKit)
Social media scheduling (Buffer)
Voice AI configuration (ElevenLabs)
Design system (Canva Pro brand kit)
Project management (Notion workspace)
Book publishing support (Amazon KDP)
Fundraising campaign setup (GoFundMe, Kickstarter)
Phase 1 — Platform Setup (Week 1)
Set up WordPress + Kadence theme on hosting for 2 websites
Configure Cloudflare DNS and SSL
Install and configure essential plugins (Yoast SEO, WPForms, WP Rocket, UpdraftPlus)
Create ConvertKit account, email forms, and embed on all pages
Set up Buffer and connect 3 social media channels
Configure Canva Pro with brand colors, fonts, and templates
Set up Notion workspace for project tracking and CRM
Create and organize accounts across all platforms
Phase 2 — Automation Build (Week 2)
Build scenarios connecting Claude API to WordPress (automated blog drafts)
Set up social media content pipeline (blog → AI captions → Buffer scheduling)
Configure ConvertKit welcome email sequence (7 emails, copy provided)
Connect ElevenLabs API to for voice content generation
Set up lead notification system (form submission → Notion + email alert)
Build fundraising tracker (donation webhook → Notion dashboard)
Test all automations end-to-end
Phase 3 — Content & Launch Support (Week 3+)
Upload books to Amazon KDP (manuscripts and covers provided)
Create and schedule 14 days of social media content using Canva templates
Set up GoFundMe and Kickstarter campaign pages (copy provided)
Final QA testing across all systems
Document all login credentials, workflows, and SOPs in Notion
Required Skills
Must-have:
WordPress setup and administration (Kadence theme experience a plus)
(formerly Integromat) — building scenarios and connecting APIs
API configuration (REST APIs, webhooks, API keys)
ConvertKit or similar email marketing platform
Notion setup and workspace organization
Strong attention to detail and ability to follow documented specs
Reliable communication and availability during US Central Time business hours
Nice-to-have:
Experience with Claude/Anthropic API or OpenAI API
ElevenLabs or voice AI platform experience
Canva Pro and brand kit setup
Amazon KDP publishing experience
Cloudflare configuration
Buffer or social media scheduling tools
Crowdfunding platform setup (GoFundMe, Kickstarter)
How This Role Works
Hours: 15-25 hours/week initially, scaling based on performance
Rate: $15-30/hr depending on experience
Duration: Initial 3-week sprint to get systems live, then ongoing 10-15 hrs/week for operations and maintenance
Communication: Daily check-ins via Notion or Slack, weekly video call
Time zone: Prefer overlap with US Central Time (CST), but flexible for the right person
