We are looking for a reliable and detail-oriented Administrative & Logistics Assistant to support our daily operations in Europe.
Position Overview:
The Administrative & Logistics Assistant will support the management team with day-to-day administrative tasks, invoicing support, B2B order coordination, client communication, and logistics follow-ups. This role is execution-focused and works based on established processes, instructions, and templates. Strategic, financial, and decision-making responsibilities remain with management.
The position is fully remote and requires strong organisation, reliability, and clear written communication.
Key Responsibilities:
- Administrative & Invoicing Support
- Organise and maintain invoice and bill records
- Prepare and issue invoices using provided templates and instructions
- Support the organisation of bookkeeping documents (documentation and records only)
- Ensure records are accurate and up to date for management review
B2B Order Coordination
- Support the processing of B2B orders from confirmation to delivery
- Assist with tracking inventory levels related to active orders
- Coordinate internally to ensure smooth order execution
- Flag delays, discrepancies, or issues
Client Communication (B2B)
- Act as one of the points of contact for routine B2B client communications
- Handle order-related queries and follow-ups
- Escalate non-standard or sensitive matters to management
Payment Follow-Ups
- Send payment reminders based on agreed payment terms
- Follow up on outstanding invoices and report overdue payments
- Support resolution of billing queries under guidance
Logistics Support
- Communicate with logistics partners (primarily in France)
- Track shipments and delivery status
- Report delays or logistical issues and support their resolution
General Administrative Support
- Prepare basic summaries and data for reporting purposes
- Perform assigned administrative and coordination tasks
- Maintain organised digital records and documentation
Qualifications & Skills
- Previous experience in administrative support, invoicing, or similar roles
- Basic knowledge of bookkeeping and invoicing processes
- Fully fluent in English and French (written and spoken)
- Comfortable using invoicing/accounting tools and Microsoft Office
- Strong organisational and follow-up skills
- High attention to detail and accuracy
- Ability to follow instructions, use templates, and work with defined processes
- Comfortable working remotely and communicating proactively
Education:
A degree or diploma in Business Administration, Accounting, or a related field is an asset but not mandatory.
