Do you enjoy structured, step-by-step administrative work where things are clear and organized? We're hiring a detail-oriented Administrative Assistant to support a real estate-based company with new client intake and case organization. You'll open new client files, organize information in spreadsheets and our CRM, and ensure each case is properly documented from the start.
We're not just looking for someone to complete tasks. We're looking for a long-term team member whose proactivity and ideas are valued. We encourage input that helps improve processes and make things smarter instead of harder
- What You'll Be Doing
• Open new client files as soon as a new client comes in
• Send welcome emails and client communication templates
• Create and maintain organized spreadsheets to track active cases (entering key information such as names, phone numbers, property addresses, and case details)
• Use approved tools and public records to verify information and ensure accuracy
• Contact clients when needed to confirm missing or unclear information
• Send invoices and support light QuickBooks-related tasks
• Handle additional administrative tasks as needed based on performance
- Requirements
• Strong English and Spanish skills (both required)
• Experience in administrative and detailed roles
• Proficiency in Google Sheets or Excel and the ability to learn CRMs fast
• Comfortable working with and creating structured workflows
• QuickBooks experience is a plus (invoicing support)
• Reliable internet connection
-Schedule & Pay
• Part-time to start, you can choose one of the following schedules available:
*12 PM to 4 PM CST
*1 PM to 5 PM CST
*2 PM to 6 PM CST
• Monday to Friday
• Growing into a full-time role based on performance
• $4.5/hr during a 6 week probation period and then going to $5.00/hr
