The Opportunity:
We're looking for an Office Manager to join our Facilities & Office Services team.
Reporting to the Director, Facilities & Office Services, the Office Services Manager will be responsible for the day-to-day operations of the Toronto office plus oversight into the Montreal office.
This role will uphold Aviso's Client Experience vision through a service-oriented approach with employees and visitors and will help to ensure Aviso spaces are maintained in good order through a smooth flow of facilities and office services.

What your day looks like:
- Responsible for all major aspects of office services including organization and maintenance in our Toronto office with oversight and coordination for all other offices
- Oversee the reception desk, facilities vendor relationships, office maintenance and repair, catering and budget tracking for Office Services events
- Support all facilities-related requests in the Toronto office (i.e., lighting, furniture & fixtures, building maintenance coordination, kitchen, etc.), couriers and mail and will be responsible for ensuring cleanliness of common areas
- Administration of Facilities Inbox in collaboration with Vancouver office
- Support facilities, office services and projects for the Montreal office on a limited basis
- Provide high level of partnership and support to executive assistants
- Monitor and maintain vendor contracts and schedule renewals in conjunction with manager of facilities, within approved budgets
- Manages the provision of common office services through employees, contractors and suppliers engaged in office support
- Oversee and support construction related projects for the Toronto or Montreal offices, under guidance and direction from the Director, Facilities and Office Services
- Liaises with building management on day-to-day operational items
- Consults and provide support to regional offices as necessary to maintain required standards and consistent corporate image
- Assisting with onboarding and offboarding employees
- Concur administrator for vendor invoices
- Support the joint health and safety committee
Your experience and skills:
- Post-Secondary education and Facilities Management certificate preferred
- Top level customer service skills, collaborative and team oriented with a "can do" attitude.
- 5+ years' experience in a similar position
- Strong experience with the MS suite of products including Word, Excel, Outlook
- Experience with office 365 experience and teams required
- Experience in working with and maintaining relationships with vendors, building management and construction project trades and consultants is required
- Project management experience, particularly in facilities and office configuration, would be preferred
- Strong aptitude to pick up technology and willingness to learn new systems
- Ability to learn quickly in a fast-paced environment and strong attention to detail
- Strong organization skills with a process improvement mindset
- Ability to prioritize and multi-task
- Fluent communication skills in English are required and bilingual skills in French are an asset

Salary
This position is posted with an expected salary range of $83,000 - $95,000 CAD annually. Individual compensation packages are based on various factors unique to each candidate and the requirements of the position.
