Scope of Work
You will populate one row per building with the following fields:
Address
Asset Type - Primary (Hotel / Condo / Retail / Parking) -
Owner (LLC Name)
Owner Name (real person, not LLC - From )
Last Sale Date (Last date with a price above $100,000)
Last Sale Price (Last price above $100,000)
Lot Size (SF)
Building Size (SF)
Number of Units (Living Units only)
Number of Floors
Required Sources (Use Exactly These)
Primary Data Sources (for most fields):
Miami-Dade Property Appraiser (Cell E2)
Gridics Miami Beach (Cell E3)
(Links are provided in cells E2 and E3 of the spreadsheet.)
Owner Name Source:
Sunbiz (Florida Division of Corporations) E4
Floor Count Backup Source (when needed):
Google Maps (Street View)
Step-by-Step Instructions (Must Follow Exactly)
1. Orange Columns in Row 7
For all columns that have orange headers above Row 7, you must pull the data from:
Miami-Dade Property Appraiser
Gridics Miami Beach
(Links are provided in cells E2 and E3 of the spreadsheet.)
2. Owner Name (Column P – Real Person, Not LLC)
For the Owner Name (Column P):
Copy the LLC/entity name from the Miami-Dade Property Appraiser
Go to
Paste the LLC name into the Entity Name search field
Click Search Now
Confirm the entity status says ACTIVE
Click the entity name
Under "Authorized Person(s) Detail", enter the first person listed at the top
Example:
Property: 1420 Collins Avenue
Entity: Villa Cinco LLC
Sunbiz Authorized Person: Fabio Discola
→ Owner Name to enter: Fabio Discola
Do NOT enter the LLC name. Always enter the real individual.
3. Asset Type
Use "Primary Land Use" from the Miami-Dade Property Appraiser site.
4. Number of Floors
If the Miami-Dade Property Appraiser site lists a floor count, use that.
For condo buildings, this field often shows 0 — this is incorrect.
If it shows 0, you must:
Go to Google Maps
Enter the building address
Use Street View
Count the visible floors from the street
Enter the real floor count manually
5. Number of Units
Use Living Units only
On the Miami-Dade Property Appraiser site, this is:
Hotel Units
Multifamily Units
Do NOT use number of beds
Do NOT guess
If unclear, cross-check Gridics
6. Retail Square Footage
Retail square footage is not available from the Miami-Dade Property Appraiser site.
Leave blank unless clearly available on Gridics.
7. Data Quality Rules
No blank fields unless the data truly does not exist
Flag missing or unclear data in a notes column
Cross-check Miami-Dade Property Appraiser + Gridics when numbers conflict
Format numbers cleanly (no commas in numeric cells unless specified)
