The Opportunity:

This role supports our community of hundreds of individual and corporate clients, as well as our growing team of accountants and bookkeepers.

As a member of our firm, you will help us deliver an effortless customer experience while managing the day‑to‑day administrative tasks that keep our operations running smoothly.

Your day will involve managing multiple projects, including communicating with clients by phone, email, and in person.

Our administrative team plays an active role in client projects—sending letters and instructions, following up with clients for missing information, and assembling and delivering finalized project packages.

This is a fast‑paced position, so strong organization skills and the ability to quickly prioritize tasks are essential. If the thought of spinning multiple plates feels overwhelming, this role may not be the right fit.

Previous experience working in an accounting firm is a competitive advantage for this position.

What You'll do:

Client Service

  • Receive and respond to client communications by phone, email, and in person at the front desk.
  • Interact with clients with an unwavering commitment to exceptional service and satisfaction.
  • Ensure a positive, bright, and welcoming experience for every individual who contacts or visits our firm.
  • Meet with clients at the front desk to obtain signatures on forms and collect payments for completed work.

Internal Service

  • Provide vital support to our team of accountants and bookkeepers by assisting with administrative tasks, client follow‑ups, organizing and scanning documents, and efficiently completing additional tasks as needed to keep operations running smoothly.
  • Assist in maintaining our customer database by entering new client information accurately and routinely updating existing records to ensure data integrity and reliability.
  • Collaborate in setting up client projects in our database, ensuring each project is carefully monitored and completed according to important deadlines.

Client Project Delivery

  • During personal income tax season, assemble finalized personal income tax returns—both digitally and physically—and collect e‑signatures or physical signatures on required authorization forms.
  • Throughout the year, assemble completed year‑end project packages and obtain all necessary authorizations to file client returns.

Perform all duties as assigned

What You Need:

  • Completion of a College diploma program in Business Administration.
  • Previous administrative assistant experience is considered an asset.
  • Prior experience working in an accounting firm is highly valued.
  • A proven ability to successfully manage multiple priorities or projects in a fast‑paced environment.
