WHO WE NEED

We are seeking a Digital Communications Specialist to lead the strategy, execution, and continuous improvement of ROM's email and digital communications across a wide range of internal and external audiences.

This role is responsible for managing ROM's email marketing platform and supporting digital communications that engage Members, Patrons, program participants, partners, staff, and volunteers. The Digital Communications Specialist develops targeted, behaviour-based customer journeys and marketing automations that drive engagement, retention, and revenue, while ensuring data quality, accessibility, and compliance.

Working closely with stakeholders across Marketing, Communications, Membership, Programs, IT, and external partners, this role plays a key part in delivering timely, relevant, and audience-centred digital communications.

HOW YOU WILL MAKE AN IMPACT
  • Plan, design, and execute email marketing campaigns that support exhibitions, programs, membership, and institutional priorities
  • Manage ROM's email marketing platform (Mailchimp), including audience segmentation, tagging, data hygiene, and day-to-day operations
  • Develop and maintain automated, behaviour-based customer journeys that support engagement, retention, and sales
  • Build and optimize email content using approved templates and visual assets that align with ROM's brand and accessibility standards
  • Collaborate with internal teams and external partners to source, curate, and schedule content across multiple audiences
  • Oversee email planning and scheduling to balance organizational priorities and avoid audience over-saturation
  • Manage email database integrity, including imports, quality checks, segmentation strategies, and compliance with CASL and AODA requirements
  • Support SMS communications, sign-up forms, integrations, and APIs related to digital marketing initiatives
  • Conduct A/B testing and use performance data to continuously improve content, journeys, and campaign effectiveness
  • Track, analyze, and report on campaign performance, sharing insights and recommendations with stakeholders
  • Identify and implement lead-generation opportunities that support growth and engagement
  • Support special projects and other digital communications initiatives as required
WHAT YOU BRING
  • Completion of a four-year degree in Marketing, Digital Media, or a related field
  • A minimum of three (3) years of professional experience in an email marketing or digital communications role
  • Advanced experience using Mailchimp, including audience management, segmentation, and automation; working knowledge of HTML is an asset
  • Strong understanding of email marketing best practices, compliance requirements (including CASL and AODA), and emerging digital communication trends
  • Experience working with Microsoft 365 tools and digital platforms such as Mailchimp, Zapier, Canva, and Adobe Creative Suite (InDesign, Photoshop)
  • Strong organizational, time-management, and project-management skills, with the ability to manage multiple initiatives in a fast-paced environment
  • Analytical and problem-solving skills, with experience using data to guide decisions and improve performance
  • Excellent written, visual, and digital communication skills, with a strong understanding of audience needs and behaviours
  • Demonstrated judgment, initiative, and independence, balanced with the ability to collaborate effectively in a team environment
  • Professional presence and strong interpersonal skills, with experience working with a wide range of stakeholders

  • EXPECTED COMPENSATION: $70,263 - $80,300

WHAT TO EXPECT IN OUR INTERVIEW PROCESS
  1. Initial conversation: A 30-minute virtual conversation** with a Recruiter to discuss your interest in the role and ROM and how you can make an impact.
  2. First interview: A 1-hour in-person or virtual interview with the Hiring Manager and a member of the HR team. This in-depth interview will focus on your skills and how they align with the team's and ROM's needs.
  3. Second interview: A 1-hour in-person meeting with the Hiring Manager and relevant team members. You may be asked to present a pre-assigned case study and discuss scenarios relevant to your role. Depending on the position, you might also be given a tour of ROM and receive a preview of your responsibilities and interactions.
