Achieving Excellence

As the Maintenance Coordinator, you support the efficient operation of the Maintenance Department through effective planning, coordination and communication. You will manage the digital work order system, coordinate vendors, streamline interdepartmental communication, and assist with preventative maintenance initiatives to maintain hotel assets at a high standard. Key Focuses

  • Operations & Systems Management;
    • Act as the primary administrator for the GXP (Guest Experience Platform).
    • Assign, track, and close out work orders, ensuring all guest-facing and internal maintenance requests are handled with urgency.
    • Collaborate closely with the Rooms Division teams to schedule and execute Rooms Preventative Maintenance programs.
    • Ensure rooms are placed out of service strategically to minimize revenue loss while maintaining brand standards.
    • Assist with departmental scheduling to help ensure adequate staffing levels, including coverage for emergency on-call shifts.
  • Procurement & Inventory Control;
    • Source parts, tools, and supplies. Obtain competitive quotes from vendors and prepare Purchase Orders (POs) for management approval.
    • Maintain a highly organized inventory of critical spares (PTAC units, plumbing fixtures, lighting, etc.). Conduct monthly audits to prevent shortages and minimize waste.
    • Coordinate with external contractors for specialized services (Elevators, HVAC, Fire & Life Safety) and ensure they comply with hotel safety protocols.
  • Administration & Compliance;
    • Maintain accurate records of equipment warranties, service contracts, and safety inspections.
    • Provide administrative support for performance feedback meetings to ensure they are completed on time.
    • Manage the MESH platform for the hotel to ensure we are Brand Standard compliant.
    • Assist the Maintenance Manager in tracking the departmental budget and utility consumption.
    • Ensure all documentation for health and safety audits is up-to-date and organized.

Experience/Passions/Education

  • Minimum of 2+ years in a maintenance coordinator or operations role preferably within the hospitality industry.
  • Advanced knowledge of Marriott systems an asset and Proficient in Microsoft Office (Excel, Outlook).
  • Must possess excellent communication skills, both written and oral.
  • Highly organized and has the ability to prioritize high-pressure requests alongside long-term preventative maintenance projects.
  • Must be highly Health and Safety conscious dedicated to maintaining a safe work environment.

Working Conditions

This position may work day, afternoon, or evening shift any day of the week or weekend with long days to meet periodic upturns in business demands or meet deadlines. This position is set in a fast-paced and, at times, high-pressure environment that requires continuous physical movement, the ability to lift up to 30 lbs., and the ability to manage multiple sequences and demands. There may be periods of independent work and changes in temperature from the back to the front of the house.
