About the Role
Working on-site in the college's Okotoks campus, The Administrative Assistant
provides comprehensive administrative and front-line student support for the School of Foundational Learning. Reporting to the Associate Dean, this role supports Program Chairs, faculty, staff, and students by ensuring smooth day-to-day operations, effective communication, and a welcoming learning environment.
The Administrative Assistant serves as a key point of contact for students, responding to inquiries related to programs, courses, enrollment, and college services. The role also provides reception coverage for the School's main office and student learning space, and liaises with other College departments to support student administration and program operations.
Position Responsibilities & Accountabilities
Supports learners, staff, and the general public, and assists to promote Bow Valley College regional services and School of Community Studies programs – 50%
- Assists prospective students to navigate through the post-secondary system and provide relevant career
- Contacts learners to communicate or gather relevant information.
- Advises learners on various procedures and processes and troubleshoots issues as required.
- Maintains information about programs and services and keeps bulletin boards, communication manuals, and information displays up to date and
- Takes notes of prospective student inquires for programming and
- Reception duties, including answering phone calls, walk-ins, email, and other inquiries.
Provides administrative support to the Associate Dean and other department staff – 50%
- Assists with the maintenance of administrative files and records, according to records management
- Tracks prospective learner inquiries and updates database for reporting and needs assessment
- Organizes internal and external meetings.
- Takes and compiles meeting notes/minutes as required.
- Takes messages for Associate Dean and other department staff as necessary.
- Orders various supplies and submits service requests for maintenance of furniture and equipment according to operational
- Provides administrative support to department Programming Officers as required.
- Provides backup coverage for other department administrators when required.
- Other related duties as assigned.
Minimum Qualifications
- Certificate in Office Administration or equivalent credential
- 2 years' experience in customer service and/or administrative capacity
- Strong MS Office skills
- An equivalent combination of directly related education and experience may be considered
Preferred Qualifications
- Experience troubleshooting office and/or educational technology
- Experience working within a post-secondary institution
- Ability to provide excellent client service
- Ability to work independently
- Excellent organizational and planning skills
- Excellent communication and problem solving skills
- Experienced working with databases - inputting and reporting
