Role Description
The Quality Assurance Supervisor is responsible for developing, implementing, maintaining, and continuously improving the Food Safety and Quality Management Systems in accordance with SQF, HACCP, GMP, and applicable regulatory and customer requirements. This role ensures that the packaging materials produced meet internal quality standards, are safe, compliant, and meet customer specifications while fostering a strong food safety culture throughout the organization. The QA Supervisor will work with all levels of manufacturing and administrative teams to coordinate, lead, and fully implement a quality management system and implement the Safe Quality Food (SQF) program (gain SQF Certification); further ensuring all aspects of the SQF program are implemented and adhered to for long term (post-implementation) sustainability.
While this position has the title of, "Supervisor" – there are no direct reports - which may change in the future.
Key Responsibilities
QMS / SQF & HACCP Standards and Requirements:
o Own, understand, implement, and maintain the QMS and SQF Food Safety Management System
o Study and adopt all SQF standards relevant to the packaging industry.
o Stay updated on changes in SQF and all local regulations regarding food contact materials.
o Interpret SQF requirements for all business processes.
o Promote a strong food safety and quality culture.
o Provide coaching, performance feedback, and development.
o Monitor, train, and assess all employees on SQF Food Safety Management System.
o Ensure coverage for quality oversight across all shifts.
o Maintain HACCP hazard analysis and preventive controls.
o Ensure CCPs and PRPs are validated and verified.
o Ensure monitoring, verification, and validation activities are effective.
o Review CCP and quality records for compliance.
o Ensure traceability, mock recalls, and food defense programs are maintained.
o Maintain allergen, sanitation, and environmental monitoring programs.
Gap Analysis and Planning:
o Conduct a full gap analysis between current operations and SQF requirements.
o Identify critical non-conformities or risks in processes, equipment, or documentation.
o Develop a detailed SQF implementation plan, including timelines, responsibilities, and required resources.
o Prioritize tasks based on risk to food safety and regulatory compliance.
Food Safety & Quality Management System (FSMS) Development:
o Design and implement a QMS and a Food Safety Management System aligned with SQF standards.
o Ensure documentation for (create, maintain):
o Food safety policy and objectives.
o Standard Operating Procedures (SOPs).
o Work instructions (WI).
o Records for monitoring, corrective actions, and verification.
o Develop a quality manual specifically for packaging operations.
Hazard Analysis & Risk Assessment:
o Conduct a Hazard Analysis and Critical Control Points (HACCP) study:
o Identify physical, chemical, and biological hazards that could contaminate food via packaging.
o Define critical control points (CCPs) and critical limits.
o Regularly review and update risk assessments as processes or products change.
Client Management:
o Support customer quality requirements and audits.
o Manage customer complaints and corrective actions.
o Maintain records required for regulatory and customer review.
Supplier Management:
o Identify all suppliers of raw materials and packaging components.
o Implement supplier approval and monitoring programs, including:
o Supplier audits.
o Certificates of analysis (COA).
o Compliance verification for food-contact safety.
o Maintain approved supplier lists as part of SQF documentation.
Facility & Equipment Management (working directly internal stakeholders):
o Ensure facility meets cleanliness, maintenance, and hygiene requirements.
o Work with operations to develop a preventive maintenance program for machinery to prevent contamination.
o Implement pest control programs in coordination with external providers.
o Verify equipment design and materials are suitable for food-contact use.
o Develop cleaning and sanitation procedures for equipment and storage areas.
o Implement cleaning schedules and logs.
o Conduct verification of cleaning effectiveness.
Personnel Training & Competency:
o Identify training needs for staff regarding:
o Food safety practices.
o Hygiene and personal protective equipment (PPE).
o SQF, QMS requirements and WIs / SOPs.
o Conduct regular training sessions and record attendance.
o Ensure ongoing competency assessment and provide re-training.
Traceability and Recall Procedures:
o Develop a full traceability system from raw materials to finished packaged products.
o Implement product recall procedures in case of contamination or non-compliance.
o Conduct mock recalls to test the effectiveness of traceability systems.
Monitoring, Verification, and Internal Audits:
o Establish monitoring procedures for all critical operations.
o Conduct internal QMS and SQF audits to check compliance and identify gaps.
o Implement and manage corrective and preventive action (CAPA) plans for non-conformances (NCR).
o Maintain detailed records of monitoring and verification activities.
Documentation and Record-Keeping:
o Maintain all required QMS / SQF documentation, including:
o Policies and procedures.
o Training records.
o HACCP plans.
o CCP monitoring logs.
o Supplier approvals and audits.
o Corrective action records.
o Ensure documents are controlled, up-to-date, and readily available for audits.
Continuous Improvement:
o Create and review performance metrics related to food safety and quality.
o Lead continuous improvement initiatives to reduce risk and improve efficiency.
o Stay informed about industry's best practices and modern technologies for food-contact packaging.
Certification Preparation and Management:
o Coordinate all certification audits with the certification body.
o Prepare and organize all required documentation for auditors.
o Implement action plans for any non-conformances identified during audits.
Other:
o Support continuous improvement initiatives.
o Generate various reports as required.
o Other projects, implementations, and coordination duties as assigned and as the business evolves.
Qualifications / Conditions / KPIs:

Communication & Collaboration:
o Work as a team and be the main contact for all quality / SQF.

Technical Skills & Knowledge:
o Strong and deep understanding of quality management systems / SQF.
o Familiarity with creating/executing SOPs, KPIs, CAPA, NCR, and many other reporting requirements.
o Proficiency with MIS/ERP systems, MS office, and other platforms to perform duties.
Required Qualifications:
o Post-secondary education in Food Science, Print Packaging, Quality, or related field (MUST HAVE).
o Minimum 3–5 years of QA experience in print packaging manufacturing (MUST HAVE).
o SQF Practitioner certification (MUST HAVE).
o HACCP certification
o Experience implementing Safe Quality Food (SQF) certification program – from initiating project to full certification and ongoing sustainability.
o Strong knowledge of GMPs, risk assessments, and root cause analysis.
o Audit experience (internal and external).
o Strong mathematical, technical, and analytical skills.
o Excellent organizational and time-management abilities, ability to track and keep projects on time to completion.
o Superior focus and attention to details and accurately presenting data, in a timely manner.
o Ability to communicate with all levels clearly and effectively in the business (internally & externally).
Working Conditions:
o Office and production floor environments.
o Requires occasional-to-frequent: lifting, walking the production floor.
o Flexibility to support audits or off-shift issues.
o May require occasional overtime to meet deadline(s).
o Interaction with machinery and manufacturing processes.
