Position Summary:

Under the direction and supervision of the Youth Unit Lead – Youth Program Coordinator, the Intake Coordinator is responsible is responsible for managing the intake, screening, and enrollment process while also participating directly in the delivery of program services. The Intake Administrator works directly with youth at risk, program staff, and external agencies to support client needs and promote program success. 

Key Activities:

  • Review intake forms and documentation for accuracy, completeness, and eligibility.
  • Maintain an organized intake workflow to support timely service and program access.
  • Provide youth with clear, welcoming onboarding experiences, including but limited to, program tours, expectations review, and orientation to the home environment.
  • Create and maintain confidential participant files in accordance with privacy legislation and agency policies.
  • Track waitlists, admissions, discharges, and prepare intake reports as needed.
  • Maintain confidential records and ensure compliance with organizational, privacy, and legal standards.
  • Support the delivery of life-skills programming (e.g., cooking, budgeting, employment readiness, healthy relationships, self-care routines).
  • Participate in planning and facilitating group activities, workshops, and community outings.
  • Provide one‑on‑one support to youth, including check-ins, goal setting, and referrals to internal and external supports.
  • Work collaboratively with frontline staff, youth workers, case managers, and community partners to support youth success.
  • Support scheduling, appointment coordination, and transportation planning for youth.
  • Assist with preparing program materials, resource guides, and documentation.
  • Other duties as assigned.

Qualifications:

  • High school diploma or equivalent; additional education in Child & Youth Care, Social Services, Community Support, Psychology, Indigenous Studies, or related fields is an asset.
  • Knowledge of trauma-informed care, youth development, and risk assessment.
  • Excellent communication, documentation, and organizational abilities.
  • Ability to work independently in determining work methods or priorities.
  • Proven ability to work cooperatively and effectively with First Nation stakeholders.
  • Valid Class 5 driver's license and access to a vehicle may be required.
  • Ability to work flexible hours depending on program needs.
  • Must be able to provide a clear Criminal Record Check (including vulnerable sector) and clear Child Abuse check
