We are a growing operations and online business management agency helping 6- and 7-figure business owners streamline their systems, automate their processes, and scale sustainably. We specialize in backend operations, team management, systems & automation, client delivery, and launch/project management.
We are expanding and looking for a reliable, proactive, and tech-savvy Virtual Assistant to join our team to support ongoing client work and internal projects. This role supports internal systems, client workflows, tech setup, and administrative execution so the CEO can stay focused on strategy and growth. We need someone who can work during US time zones. This is a long-term, part-time role with the opportunity to take on additional responsibility as the business grows.
Core Responsibilities
Operations & Admin Support
- Manage inbox support and internal admin tasks (organizing, flagging, responding to templated messages)
- Assist with calendar management, scheduling calls, and updating client bookings
- Maintain organized digital files in Google Drive (folders, naming conventions, permissions)
- Track tasks and deadlines in project management tools (Asana, ClickUp, or similar)
--Manage client onboarding/offboarding checklists and SOPs
--Organize and update project management boards (Asana)
--Prepare meeting notes, SOP drafts, and system documentation
--Track client deliverables and ensure deadlines are met
--Data entry, file organization, and CRM updates
--Interview pitching, follow-up & requests (blogs and podcasts)
--Help maintain the Google Drive and Dropbox filing system and overall organization of documents.
--Other possible general administrative tasks as needed
--Running weekly client time reports via Clockify
--Reminding coaching clients of prework and upcoming calls
--Research as needed
Systems & SOP Support
- Follow and update SOPs for internal processes and client workflows
- Document step-by-step processes using Loom, Google Docs, or Notion
- Help identify gaps or inefficiencies in existing systems and flag them for improvement
- Maintain an organized SOP library
Tech/Automation Support:
--Set up, maintain, and troubleshoot automations in Zapier
--Support CRM funnels, email marketing and overall management in FG Funnels (GoHighLevel)
--Light website edits or landing page updates (WordPress)
--Creating new opt-in setup and support
Social Media/Content Duties:
--Help to maintain the editorial calendar for content creation
--Creating images, documents and lead magnets in Canva
--Support with social media post creation
--Assistance with video editing/reel creation (IF you do editing)
--Scheduling social media posts via Metricool
--Potential to engage with online community (Facebook, IG comments, etc.)
Requirements:
--Previous experience as a VA supporting online businesses (minimum 1 year)
--Strong working knowledge of automation platforms (Zapier a must; others a plus)
--Experience with GoHighLevel and setting up funnels (minimum 1 year)
--Comfortable learning and working on different tech platforms
--Excellent English communication skills (written and verbal)
--Highly organized with strong attention to detail
--Proactive, resourceful, and solutions-oriented
--Ability to work independently with minimal supervision
--Available to work during US business hours (I am Central time)
Bonus Skills (not required but a plus):
--Experience supporting launches, webinars, or client programs
--Light video editing (optional)
