Reporting to the Sushi Outlet Business Manager, the Admin officer (Sushi Outlet) acts as the key channel between the assigned Sushi Outlets and the Kitchen Deli (Sushi Outlet) Department within the region. The position is responsible for assisting Assistant Sushi Kiosk, Human Resource, account department (or his/her delegates) to stay current with issues affecting the Sushi Outlet, support kiosk administration document and responsible DSD purchase order. Input and consolidate POs from Shopper Drug Marts and prepare production plans for both ON and BC's productions. File and maintain PO's and production orders for future reference.
T&T Supermarket Inc. was founded in 1993 with two stores in BC. Since then, it has expanded rapidly and is now Canada's largest Asian supermarket chain with 37 stores across the country: 14 in BC, 7 in Alberta, 14 in Ontario, and 2 in Quebec. The Company's continuous expansion is going to bring more new stores in the next couple of years.
Receive and generate DSD purchase order and answer DSD enquiry
Collect original invoices from Warehouse and/or the Delivery Company as necessary
Consolidate invoices from different sources and arrange it according to store, date and type
Send out invoices to ICE team to generate store receiving reports
Endorse invoice information from store receiving report by signing on the 'Receiver Signature'
Inventory control and management by physical checking on delivered items in the warehouse.
Create, maintain and update purchase order layout and item content in master database such as addition of new vendor, change of price, addition/deletion of items in master list.
Maintain and update EIS Ordering List in master database such as price change, etc.
Handle disputed purchase orders like inferior product quality, missing items, incorrect pricing, etc., and liaise with store dept. head and supplier for corrective arrangement.
Track and investigate on any irregular ordered items found from weekly purchase orders and invoices.
Ultipro monitoring and salary allocation control such as correct any abnormal activity, notify kiosk regard the compliance of "Non-active", "over 5-hour no break", "less than 3-hour work" and "Over-time"
Assist Outlets Ultipro request. verify and process all leave application
Collect and verify information of employment application, check if requisition is needed and assessment form is properly filled up. Obtain all required signatures, submit application package to HR for processing.
Ensure all probations are completed before deadline along with a proper training record. Should there be an extension required, a detailed PIAP should be provided.
Termination procedure, either voluntary or involuntary, must be observed at all times, such as employee signature, dept. head signature and comment, employee questionnaire, return of employee's id, discount card and handbook.
Verify and organize receipts submitted by stores, fill up petty cash form and submit to accounting for processing.
Verify and process safety shoe claim, change of personal information, secondment subsidy, etc.
Forward and announce of recreational information to stores. Co-ordinate applicant information and collection of activity fees.
Set up annual evaluation form for store processing such as editing of staff's general information on each form. Collect and verify completed forms for signing.
Create and follow up with new/existing case study in written/electronic format of master database record.
Handle all store delivery queries.
Co-ordinate all food safety logs and audit and submit to food safety, and update of electronic database record.
Co-ordinate all store visit reports are properly completed and signed in return for store record and update of electronic database record.
Co-ordinate all store weekly schedule and update of electronic database record.
Co-ordinate all store production plan and update of electronic database record.
Update with store dept. head regarding any product adjustment from suppliers.
Prepare correspondence, memos and quotes
Provide information to internal colleagues or external enquirers.
Taking accurate minutes of meeting.
Coordinate office procedures
Monitor stationary levels and order office supplies.
Develop and update administrative systems to make them more efficient
Create and maintain master databases record (electronic and hard copy) in all aspects.
Co-ordinate and order of product label, product sign from the marketing Dept. such as 'Vegetarian' label.
Writing emails on behalf of other office staff.
Booking conference calls, rooms, couriers etc.
High school diploma or equivalent education credentials
Familiarity with basic office procedures, record-keeping, and customer service is valuable
Basic computer skill, including processing, spreadsheet software, and email applications
Experience in supermarket and inventory management system would be an asset
Strong written and verbal communication skills are essential
Good organizational skills are necessary for managing paperwork, scheduling, and other administrative tasks efficiently
Ability to prioritize tasks and manage time effectively to meet deadlines and handle multiple responsibilities
Capability to work well with others in a team environment
Collaborative and willing to assist colleagues as needed
Flexibility and adaptability to handle a variety of tasks and responsibilities as the needs of the supermarket office may vary
Basic understanding of math may be necessary for handling cash transactions or inventory related calculations
