I run a small but growing design‑build / general contracting company in Orange County, CA (Salt & Summit Design Build Inc.) and I need a QuickBooks Online bookkeeper who can start immediately.
I already have a separate Upwork posting for a "systems builder" (QuickBooks + Adaptive/Buildertrend automation). This role is different:
Your focus is cleanup, reconciliation, and ongoing monthly bookkeeping, not designing the overall tech stack.
What I need done right now
QuickBooks Cleanup & Catch‑Up
Review and clean my existing QuickBooks Online file.
Reconcile:
Bank of America business checking
Any savings (if used)
Bank of America business credit card
Make sure all transactions are:
Categorized correctly (job costs vs overhead)
Assigned to the correct projects where possible
No duplicates, no big uncategorized buckets
Tax‑Ready Financials
Produce tax‑ready:
Profit & Loss by year
Balance Sheet by year
Work in a way that a CPA/EA can easily use the books to file:
S‑corp returns (federal + California)
My personal return
Monthly Bookkeeping Going Forward
Ongoing:
Download & categorize new transactions
Reconcile bank & credit card accounts each month
Keep job costing up to date for active projects
Provide monthly summaries:
P&L
Cash position
Project‑level view (basic job costing)
Coordinate with my tax CPA (I'm in the process of hiring a local construction CPA firm) so the books stay in sync with tax strategy.
Tech & environment
QuickBooks Online is the main accounting system.
Bank of America business accounts (checking, savings, credit card).
I am also working with another freelancer/firm on automation , Buildertrend, or similar). You do not need to be the automation architect, but:
You must be comfortable working with that person.
You need to understand how automated feeds & rules show up in QBO.
Ideal freelancer
Strong QuickBooks Online experience – especially cleanup & catch‑up.
Has worked with construction / contractors in the US.
Understands job costing, project‑based profitability, and separating COGS vs overhead.
Comfortable reconciling messy books and preparing CPA‑ready financials.
Good communicator who can:
Give me a weekly "what I did / what's left / what I need from you" summary.
Please answer these when you apply:
How many construction/contractor clients have you handled in QuickBooks Online?
Have you done cleanup / catch‑up work before? Briefly describe one project.
Are you comfortable coordinating with a separate tax CPA (and possibly a separate "systems" freelancer) to keep books aligned?
Your hourly rate and how many hours you can give me per week starting NOW.
Based on what I described, how many hours do you roughly estimate for:
Initial review & diagnostic
Full cleanup of the last year (or two)
Ongoing monthly bookkeeping
I'm looking to hire quickly. Please only apply if you're available to start within the next few days and can handle both initial cleanup and ongoing work.
Contract duration of 1 to 3 months. with 40 hours per week.
