About the Role
We are seeking two highly organized, detail-oriented Maintenance Coordinators to join our growing property management team.
This is a hands-on operational role, not just administrative. You will play a direct role in protecting property assets, ensuring tenant satisfaction, and maintaining billing accuracy that impacts company revenue.

What You'll Be Responsible For
Handyman Coordination & Field Oversight
Coordinate and manage daily work for our in-house handyman
Act as the primary point of contact during assigned shifts
Dispatch jobs based on the Maintenance Manager's daily schedule
Maintain active communication via phone and WhatsApp throughout the shift
Review all issues before the handyman leaves a property to ensure nothing is missed
Troubleshoot minor issues in real time using photos, video, and calls
Escalate issues appropriately when additional vendors or approvals are required
Maintenance Ticket Management & Resolution
Manage active maintenance tickets from start to full resolution
Review incoming maintenance requests and platform chats
Confirm scope of work before dispatch
Follow established resolution checklists and SOPs
Verify completion with photos, notes, and tenant confirmation
Ensure every job is properly documented and fully closed out
Labor Time Tracking & Billing Accuracy
Track labor time by job and property with high precision
Enter daily labor hours into the internal system
Ensure billing is assigned correctly to the proper property and client
Understand that accuracy directly affects owner statements and revenue
Materials & Expense Tracking
Record all material purchases (Home Depot, Amazon, etc.)
Match receipts to specific jobs and properties
Identify missing receipts or discrepancies immediately
Maintain organized, auditable expense records
Data Entry & Financial Integrity
Accurately input labor, materials, and maintenance costs
Maintain clean documentation for audit purposes
Ensure financial data integrity at all times
Follow internal systems and reporting procedures consistently
Communication & SOP Compliance
Leave clear and detailed job notes
Provide updates to the Maintenance Manager as needed
Communicate professionally with tenants using templates and guidelines
Follow all SOPs related to maintenance coordination and emergencies
Required Qualifications
Prior maintenance experience (property maintenance, handyman, facilities, or similar)
Strong understanding of common residential repair issues
Experience coordinating field work or managing multiple active jobs
High attention to detail and proven data entry accuracy
Comfortable working fully remotely using apps, messaging platforms, photos, and video
Highly organized and responsive during scheduled shifts
Strong sense of ownership and accountability
Spanish proficiency is required (or strong experience working directly with Spanish-speaking technicians)
Work Schedule
Two part-time remote positions
32 hours per week each
Fixed shifts to ensure operational coverage and continuity
