We are currently hiring for the position of:
COORDINATOR, FESTIVAL PROGRAMMING
The Coordinator, Festival Programming provides comprehensive administrative and coordination support to the Festival Programming department, with a primary focus on supporting the planning, execution, and delivery of the Toronto International Film Festival, as well as applicable year-round initiatives. This position plays a key role in supporting core operational functions across the department and ensuring effective communication and workflow coordination.
The Coordinator, Festival Programming reports directly to the Manager, Programme Administration, Festival Programming, and works closely with Festival Programming leadership and cross-departmental teams to support the successful delivery of departmental initiatives.
RESPONSIBILITIES:
Manage film information and databases by entering, auditing, and maintaining film data across internal systems and trackers, ensuring accuracy, consistency, and reliability information for programming, scheduling and publications.
Coordinate internal preview screenings and related documentation by scheduling screenings, liaising with external and internal stakeholders, and uploading film notes to internal databases to support programming decisions.
Coordinate invitations and guest communications by preparing and distributing film and guest invitations, managing invitation packages, and supporting departmental inboxes and distribution lists to ensure clear, timely, and accurate communications, with the support of a seasonal team
Support Festival scheduling processes by assisting with data entry, conflict checks, schedule communications, and proofing information for publications, press materials, and online platforms, contributing to accurate and timely schedules.
Coordinate jury invitations and scheduling before and during the Festival to ensure a smooth experience for jurors.
Provide direct administrative support to department managers with booking travel, scheduling, and preparing meeting materials
Coordinate Festival travel and logistics by tracking and managing travel and accommodation arrangements for staff and independent contractors at international festivals including Berlin and Cannes, and coordinating onsite meetings
Provide financial and administrative support by assisting with budget and expense tracking, NetSuite administration, purchase orders, invoice processing, and reconciliations, ensuring accurate financial records and compliance.
Support seasonal staffing and festival operations by assisting with onboarding and training of seasonal staff, coordinating departmental drivers, and supporting day-to-day festival logistics during peak periods.
Contribute to reporting and process improvements by preparing reports, data analysis, research, and post-mortem documentation to support continuous improvement and future festival planning.
Assist with additional departmental projects and perform other coordination and administrative duties as assigned.
JOB GRADE & SALARY:
Job Grade 1
Job Grade Salary Range/Annually or Rate of pay: $45,000 - $54,000
Our salary ranges reflect the range of skills and experience required for the role. Typically, candidates new to the role are positioned up to the midpoint of the range, with progression through the range based on performance and development over time. The top of the salary band is for employees who consistently demonstrate high performance in their role.

Weekly in-office requirements:
Minimum 2 days (November to April)

Festival Office Requirements: Full Time during Festival
MINIMUM REQUIREMENTS:
2+ years of experience in project coordination, business administration, arts administration or a related field
Previous film festival or large-scale event planning experience considered an asset
Degree or diploma in Film Studies or a related field considered an asset
Detail- and process-oriented with strong administrative and organizational skills
Experience handling large volumes of data or information with a high degree of accuracy
Strong written and verbal communication skills, with the ability to draft clear and professional correspondence
Experience working with contracts, invoices, budgets, or financial tracking system (e.g. PO processing, expense reconciliation) considered an asset
Familiarity with Google Workspace; experience with Artifax considered an asset
Ability to work, prioritize and respond well in deadline-oriented, fast-paced and high pressure environments
Adaptability to a flexible work schedule, including some evenings and weekends to meet deadlines, particularly during the Festival period
