Reports to: Branch Director
The Operations Administrator plays a key role in supporting the day-to-day efficiency of branch operations. Reporting directly to the Branch Director, this position acts as a central point of contact between managers, field teams, and corporate departments. The Operations Administrator provides administrative, financial, and organizational support while contributing to continuous improvement of processes and best practices in arboriculture.
Key Responsibilities Operations Support & Coordination
Provide daily administrative and operational support to branch managers and the local leadership team
Plan and coordinate client meetings and appointments
Manage municipal permit requests and coordinate Info-Excavation requests
Coordinate purchasing of equipment and materials, ensuring accurate inventory tracking
Support the drafting, implementation, and improvement of standard operating procedures (SOPs)
Assist in the development and maintenance of arboriculture best-practice protocols
Work closely with the Process & Compliance Specialist to support onboarding of new client contracts and follow up on profitability reporting
Facilitate communication and process optimization between local teams and corporate departments (HR, Finance, Operations)
Administrative & Financial Management
Review invoices for accuracy prior to client submission
Process and manage purchase orders (POs), including creation and tracking in Aspire
Track expenses and ensure compliance with established budgets
Plan and manage work schedules for all teams using the Aspire system
Ensure schedules are accurate, efficient, and updated as required
Support account managers by coordinating client appointments and service scheduling
Follow up on work orders and client requests to ensure timely completion
Support residential invoicing and accounts receivable follow-ups, as required
Training & Development
Train employees and new hires on internal digital platforms (Aspire, Utrakk, Fleetio, etc.)
Support the maintenance of branch-related accreditations and certifications
Office Administration & Other Duties
Order and manage office supplies and inventory (with supervisor approval)
Support general office organization and upkeep
Perform other related administrative duties as required
Obtain supervisor approval for all purchases
Profile / Requirements
College diploma (DEC) or equivalent training in administration, management, accounting, or a related field
3–5 years of experience in an administrative, operations coordination, or similar role
Experience with invoicing, accounts receivable, purchase orders, and budget tracking
Strong computer skills (Microsoft 365) and ability to learn new systems quickly
Comfortable working with management platforms (Aspire experience is an asset)
Highly organized, detail-oriented, and able to manage multiple priorities
Strong communication skills, team mindset, and service-oriented approach
Experience in arboriculture, construction, or field-service operations is a strong asset
