I'm seeking a highly reliable, disciplined, and detail-oriented Virtual Assistant to assist with managing quotations and tender preparation for a residential construction project in Parmelia, WA. This is Project One, with additional projects to follow for the right candidate.
This role requires someone who can operate autonomously, communicate confidently within the construction industry, and manage supplier and builder engagement professionally.
***Project Overview***
You will assist in sourcing, managing, and recording supplier and builder quotations for a residential build. The goal is to compile a complete tender pack and then obtain builder pricing for staged construction.
***Scope of Work – Phase 1: Material & Trade Quotations***
You will be required to opt-in quotes for the following components:
1. Framing & Roof Trusses
Research and identify 10 to 20 suitable framing and truss companies in Australia
Send a template email with an information pack attached
Request quotations for supply and build of framing and roof trusses
2. Doors & Windows
Review the provided energy report to determine specifications
Research suitable door and window suppliers
Send template email with specifications and info pack
Obtain supply and delivery quotations
3. Roofing Materials (Colorbond Metal Roof)
Contact roofing suppliers
Request quotations for full roofing material supply including all required components such as sheeting, flashing, capping, guttering, downpipes, and associated items
4. Concrete Slab & Formwork
Contact concreting and formwork companies
Request full quotations for formwork, supply, and pouring of the slab
5. Plunge Pool Installation (Plungie)
Contact pool builders
Provide pool specifications and info pack
Request full installation quotations end to end
For all suppliers:
You will use a consistent template email
You will attach the project info pack (engineering drawings, structural drawings, slab details, survey, and architectural plans)
You will manage follow ups and respond to clarification questions professionally
***Scope of Work – Phase 2: Builder Tender Process***
Once material quotations are compiled, you will prepare a complete tender pack including:
- Architectural and engineering plans
- Material quotations
- Project Gantt chart
Research and contact 10 to 20 suitable residential builders
For each builder, request 2 separate quotations:
1. Construction to lock up stage
2. Post lock up completion
You will manage communication, track responses, and ensure clarity in pricing.
***Quote Management & Reporting***
A critical part of this role is organisation and documentation.
You must:
Create and maintain a structured Google Sheets spreadsheet
Record all supplier and builder details including:
Company name
Contact person
Phone and email
Scope of works quoted
Price breakdown
Inclusions and exclusions
Notes and clarifications
Provide regular progress updates via WhatsApp or email
***Required Skills & Experience***
Essential:
Strong command of English, written and spoken
Experience in residential construction, cost estimation, or tender management
Ability to confidently communicate using construction terminology
Strong research skills to identify suitable Australian suppliers and builders
High attention to detail
Ability to work autonomously and manage deadlines
Professional stakeholder communication skills
***Highly Desirable***
Experience with Australian residential construction
Understanding of lock up stage vs post lock up stage
Familiarity with reading plans and engineering drawings
You are encouraged to use AI tools to refine communication and improve clarity where appropriate.
***What I Am Looking For***
This is not just an admin role. I need someone who can take ownership of this process, run with it, problem solve, follow up suppliers, clarify ambiguities in quotes, and keep me informed throughout.
You must be disciplined, proactive, structured, and commercially aware.
If you perform well on this project, there will be ongoing work across future residential developments.
