We are seeking a highly organized, proactive Executive Assistant to support the CEO of a growing company. This role is ideal for someone who thrives on structure, takes initiative, and can manage communication, workflows, and priorities while protecting executive focus.
This is a hands-on role involving executive support, customer communication, research, documentation, branding support, and operational coordination.
Spanish and English bilingual candidates are strongly preferred.
KEY RESPONSIBILITIES
1. Executive Support
- Manage executive calendar, scheduling, and meeting coordination
- Monitor and triage email, Slack, and messages; draft replies and follow-ups
- Answer incoming calls via office phone line and handle professionally
- Prepare reports, summaries, and briefing documents
2. Communication & Customer Service
- Serve as first point of contact for clients and partners
- Answer phone calls and provide professional customer service
- Route messages and prioritize urgent matters appropriately
3. Research, Documentation & SOP Creation
- Conduct research and present organized summaries
- Create SOPs, manuals, how-to guides, and internal documentation
- Help organize workflows and operational systems
- Capture ideas and turn them into clear, structured processes
4. Social Media & Brand Support
- Assist with social media coordination and administrative tasks
- Maintain brand consistency across documents and materials
- Select templates, visuals, and layouts aligned with brand standards
- Must have a strong eye for branding and presentation
5. Administrative & Daily Operations
- Track tasks, deadlines, and project progress
- Help coordinate projects and follow up with team members
- Support daily executive and operational needs
REQUIREMENTS
Required
- Must be available and willing to work full-time during U.S. business hours (Central or Eastern Time)
- 3+ years experience as Executive Assistant, Operations Assistant, or similar role
- Customer service and phone support experience
- Fluent English communication (spoken and written)
- Strong organizational and documentation skills
Preferred
- Spanish and English bilingual
- Experience creating SOPs, manuals, and process documentation
- Experience supporting executives or founders
- Experience with social media coordination

Contract duration of more than 6 months. with 30 hours per week.
