You are the cornerstone who turns everyday work into excellence.
As an Executive Assistant, you will play a key role alongside our Co-President, supporting her in organizing her day-to-day activities and managing administrative tasks, while providing high-level administrative support. You will also support our Co-Founder and contribute to the organization of our Montréal service centre.
With your efficiency, discretion, and positive energy, you make life easier for those around you—always with kindness. You naturally provide thoughtful service, both internally and externally. Your approach, your aesthetic sense, your strong organizational skills and your ability to manage multiple priorities will make you a valued ally.
What You'll Do
Ensure effective management of the Co-President's calendar, organize meetings and schedule appointments, while optimizing her day-to-day schedule by anticipating needs and proactively following up.
Manage the Co-President's inbox, handle urgent requests, and maintain smooth communication with stakeholders.
Coordinate meetings and travel: bookings, confirmations, meeting room setup, and itineraries.
Track projects, files, committees, and events; ensure coordination, prepare documents, and follow up as needed.
Handle administrative and financial follow-ups: expense reports, corporate card, petty cash, invoice approvals, and timesheet approvals.
Manage donation and sponsorship requests, oversee gift card administration, and follow up on certain partnerships.
Manage sensitive files and insurance claims.
Contribute to the day-to-day management of the Montréal service centre: reception, calls, mail, supplies, and occasional orders.
Provide support to the Co-Founder, including coordinating meetings, follow-ups, and travel as needed.
What You'll Bring
Proven experience as an Executive Assistant or in a similar administrative role.
Discretion, professionalism, and a strong sense of confidentiality.
Strong attention to detail, autonomy, and thoroughness in task execution.
Ability to manage multiple priorities, demonstrate flexibility, and adapt quickly in a constantly evolving role.
Proficiency with IT tools and the ability to learn new ones easily.
Advanced proficiency in French and English, both spoken and written, due to the nature of the responsibilities, work tools, and interactions with English-speaking colleagues, partners, suppliers, and clients.
