It takes a hardworking team of energetic people in a wide variety of full-time and part-time roles to conduct a successful multi-million dollar auction – from equipment inspectors, yard managers and operators to administrative staff and customer service representatives.
Job Description
The Part-Time Field Coordinator plays a key role in delivering smooth, high-quality offsite auction operations for
Ritchie Bros. Reporting to either the Manager, Regional Field Operations or the Manager, Field
Coordinators, this role supports all field activities related to the receipt, inspection, and preparation of
equipment and assets for sale.
Working closely with Sales Territory Managers and Auction Operations Leads, the Field Coordinator
ensures accurate documentation, clear communication, and efficient event execution. This position
requires strong organization, adaptability, and a commitment to safety and customer service in a fast paced, field-based environment.
The Field Coordinator acts as a direct extension of management, ensuring every offsite sale reflects
Ritchie Bros.' standards for operational excellence and customer satisfaction.
Responsibilities
Asset Intake, Inspection, and Verification
Coordinate the receipt, identification, and inspection of all equipment and assets.
Verify accuracy of descriptions, photos, and condition reports using the proprietary inspection application.
Ensure all data meets company standards and is ready for marketing and sale.
Sales Preparation and Lot Optimization
Determine the most effective sales sequence and strategy to maximize asset value.
Group items logically into lots and prepare them for auction listing.
Maintain alignment with Auction Operations Leads and Territory Manager to ensure readiness and consistency.
Operational Coordination and Safety
Facilitate communication between Customer, Equipment, and Customer Service teams to ensure smooth day-to-day operations.
Uphold and promote safety protocols, ensuring a clean, organized, and compliant work environment.
Support event-day execution, managing flow, geography movement, and operational logistics (digital & in person).
Administrative and Process Accountability
Maintain accurate records, documentation, and reports within company systems (e.g., Basware, MARS, Wheels Vehicle Fuel Maintenance Tracking).
Ensure timely completion of purchase orders, expense submissions, and inspection approvals.
Contribute to continuous improvement initiatives and uphold Ritchie Bros. quality and service standards.
Pre-Sale and Post Sale Field Management
Perform detailed equipment inspections using the company's Enrich & MARS systems to record condition, specifications, and photos.
Evaluate and recommend the optimal sales platform (live auction, Marketplace-E, or other platforms) to maximize returns and align with asset type.
Determine logical lot groupings and strategies used to enhance sale presentation and efficiency including dynamic load out.
Review and validate inspection reports, ensuring accuracy of photographs, equipment data, and condition notes.
Identify, verify, and classify incoming assets according to quality, category, and sale readiness, maintaining consistency with company standards.
Support safety compliance, ensuring a clean, organized, and hazard-free work environment for all employees and visitors.
Collaborate cross-functional with Field Coordination teams to maintain workflow accuracy and resolve discrepancies.
Assist with event-day operations, including customer coordination, equipment flow, and onsite logistics as required.
Perform other related duties or special projects assigned to support overall auction and operational success.
Qualifications
Candidates should bring 1–3 years of relevant hands-on operational or field experience, with 3–5 years preferred, demonstrating developing expertise, sound judgment, reliability, and the ability to manage responsibilities independently in a fast-paced environment. Proven customer service focus — demonstrates professionalism, patience, and clear communication when interacting with both customers and internal teams.
Strong technical proficiency — confident using computers, tablets, and company software systems (e.g., MARS, Basware, SimplyBookMe), with the ability to quickly learn new platforms and tools.
Excellent communication skills — clear and concise in written, verbal, and radio-based communication; able to relay information effectively using a 2-way radio, cell phone, and computer.
High attention to detail — ensures documentation accuracy, equipment data integrity, and compliance with company policies.
Organized and adaptable — capable of managing multiple priorities, meeting tight deadlines, and staying calm under pressure during high-volume auction periods.
Collaborative team player — works effectively across Yard, Equipment, and Customer Service teams, contributing to a unified and efficient operation.
Operational awareness — understands safety protocols, inspection processes, and yard flow to support consistent, quality auction preparation. Self-motivated and accountable — takes ownership of assigned areas, follows through on commitments, and demonstrates reliability in a fast-paced environment.

This role requires the ability to work effectively in both an office setting and outdoor environments. Employees will perform administrative and coordination tasks in a standard office workspace, using computers, phones, and other typical business equipment. In addition, this position regularly involves on-site work at auction locations, equipment yards, and similar outdoor settings. While working outside, employees may be exposed to varying weather conditions such as heat, cold, wind, dust, and precipitation. Appropriate safety gear and protective equipment will be provided as needed.
The role may require operating a company vehicle to travel between office locations, auction sites, and yard facilities. Employees must be able to safely operate the assigned vehicle, follow all company driving policies, and maintain a valid driver's license
