Role Summary
Own shipping, 3PLs, returns, and freight costs end-to-end.
Primary objective: reduce shipping + return losses while increasing recovery and operational efficiency.
This role is both tactical and strategic.
Not just "print labels." They control tens of thousands in shipping leakage.
Core Responsibilities
Manage all shipping and logistics operations across all warehouses and 3PL partners. This includes overseeing daily shipments, ensuring orders are fulfilled accurately, and confirming the most cost-effective and appropriate carrier and service level is selected based on zone, dimensional weight, and delivery requirements. The role is responsible for monitoring delivery performance, identifying shipping inefficiencies, and maintaining strong working relationships with all 3PL and carrier partners.
Own all 3PL relationships and performance management. This includes auditing pick and pack accuracy, storage costs, billing discrepancies, and service-level performance. The role will work closely with warehouse and 3PL partners to improve workflow, reduce errors, and ensure shipping speed and cost efficiency targets are consistently met.
Monitor and control freight and shipping costs on a weekly and monthly basis. This includes tracking total shipping spend, cost per shipment, cost per pound, and cost per zone. The role must compare projected shipping costs against actual invoiced costs, identify discrepancies, and investigate overcharges. Special attention must be given to reweigh charges, residential surcharges, address corrections, oversized package fees, and other carrier accessorial charges that may appear after billing.
Audit all carrier invoices and identify overbilling or incorrect charges. The role will file disputes and claims with carriers such as UPS, FedEx, and freight companies, and aggressively pursue refunds or credits where appropriate. This includes managing damage claims, lost shipment claims, and billing disputes until resolution. The role must ensure that all possible recoverable funds are pursued and tracked.
Develop and execute freight cost reduction strategies. This includes analyzing shipping patterns, optimizing packaging and carton sizes to reduce dimensional weight, recommending better carrier or routing options, and implementing cost-saving initiatives. The role should continuously propose and execute new strategies to reduce shipping expenses without compromising delivery reliability or customer experience.
Manage returns and reverse logistics operations. This includes tracking all returned inventory, categorizing return condition, and ensuring returned units are processed quickly for resale, refurbishment, parts harvesting, or liquidation. The role must minimize idle returned inventory and work to convert returns back into revenue as quickly as possible. A structured system must be maintained to track return value recovery and loss prevention.
Establish and enforce strong SOPs related to shipping, refunds, and returns. This includes implementing strict protocols once a label is generated or an order has shipped, reinforcing restocking fees where applicable, and ensuring consistent enforcement across the team. The role must ensure customers are properly informed of shipping policies and that internal teams follow procedures that protect the company from unnecessary refund or shipping losses.
Work closely with the finance department to review weekly operational and shipping expenses. The role will provide regular reports comparing projected freight costs versus actual billed amounts and identify trends or anomalies. Collaboration with finance is required to maintain accurate cost tracking, forecast shipping spend, and improve financial visibility across logistics operations.
Create and maintain a weekly logistics cost and performance report. This includes total shipping spend, cost per order, claims filed and recovered, cost savings achieved, return inventory recovered, and any identified cost leaks or inefficiencies. The role is responsible for providing clear visibility into logistics performance and continuously identifying opportunities for improvement.
Develop strategies to reduce shipping costs by influencing customer behavior and fulfillment strategy. This includes encouraging warehouse pickup where feasible, reducing failed delivery attempts, minimizing reshipments, and identifying opportunities to consolidate or reroute shipments more efficiently. The role should continuously recommend operational changes that reduce freight expenses and improve delivery success rates.
Manage shipping lead times and fulfillment SLA performance. The role must work closely with the inventory and operations teams to ensure orders are shipped within the defined service-level agreements for both in-stock and preorder items. This includes tracking order aging, monitoring fulfillment speed, and ensuring that delays are identified and addressed quickly. For preorder items, the role must ensure updated delivery timelines are communicated promptly to customers whenever schedules change, maintaining transparency and reducing customer service issues.
Build and maintain dashboards and tracking systems that provide visibility into shipping performance, cost trends, and return recovery. The role should continuously refine reporting tools to ensure leadership has accurate, real-time insight into logistics operations and cost performance.
