WHAT WE ARE LOOKING FOR?
Coordinator, National Events
Under the supervision of the Events team, the National Events Intern will coordinate the logistical and administrative components of the Player Dinner for the Steve Stevens Masters National Championships.
- Coordinate the Player Dinner for the Steve Stevens Masters National Championships held at the Museum of Natural History in Gatineau.
- Manage RSVPs and attendance for up to 600 participants.
- Collect, track, and communicate meal selections, dietary restrictions, and allergies.
- Coordinate table reservations (up to 8 guests per table) and prepare a detailed seating plan.
- Oversee on-site guest check-in and distribute drink vouchers.
- Conduct pre-event walk-throughs and on-site verifications at the Museum of Natural History.
- Liaise closely with the Museum's operations team to ensure smooth event execution.
- Respond to player inquiries via email and phone in a timely and professional manner.
- Process on-site payments for guests as required.
- Provide administrative and logistical support related to the event, as needed.
WHO YOU ARE?
- University studies completed or in progress in Administration, Communications, Public Relations, or related fields.
- Proficiency in spoken and written English required.
- French is considered an asset.
- Experience in a hospitality, event-based, or customer-facing environment is an asset.
- Strong customer service mindset and a high level of professionalism.
- Ability to multitask, prioritize, and manage multiple responsibilities simultaneously.
- Demonstrated initiative, resourcefulness, organization, rigor, and autonomy.
- Proficiency in Excel and Microsoft Office applications.
- Familiarity with event management platforms is an asset (e.g., Cvent, RSVPify).
WORKING CONDITIONS
- Term of contract : June 25th, 2026 – August 25th, 2026.
- Approximately 35 hours a week.
- Some evening and weekend work is required, and extended hours will occur during the National Bank Open taking place from August 1st to August 13th.
- Two days in Ottawa – August 23rd and August 24th.
