Novarc Technologies is looking for a detail-oriented and organized Logistics Administrator to join our operations team at Novarc Technologies.
Summary: As a Logistics Administrator you will be supporting the Logistics department, ensuring the smooth flow of goods both domestically and internationally. You will be responsible for coordinating shipments, managing critical documentation, and utilizing various software systems to track inventory and deliveries. The ideal candidate has a strong grasp of international shipping procedures and is comfortable working with ERP systems and courier platforms.
Duties and Responsibilities:
Shipping & Coordination:
Coordinate daily international and domestic shipments, selecting the most efficient and cost-effective carriers (freight forwarders, couriers, and trucking companies).
Schedule pickups and deliveries using carrier software (e.g., FedEx, DHL, UPS) and freight portals.
Track shipments in real-time and proactively resolve delays or transit issues to ensure on-time delivery. Act as the direct line of communication with freight forwarders.
Coordinate product movements and inventory control within 3PL distribution centers.
Liaise with warehouse staff to ensure orders are packed, labeled, and ready for shipment according to schedule.
Documentation & Compliance:
Prepare and verify all necessary shipping documentation, including Commercial Invoices, Packing Lists, Bills of Lading (BOL), and Certificates of Origin.
Ensure accuracy in all paperwork to prevent delays at borders or ports of entry.
Maintain organized digital and physical filing systems for all shipping records for audit and reference purposes.
Systems & Data Management:
Process orders and inventory transactions within the company ERP system (NetSuite).
Update internal stakeholders (Sales, Customer Service, Project Management, Purchasing) regarding shipment status and inventory levels.
Analyze shipping costs and performance data using business software to recommend cost-saving initiatives.
Minimum Qualifications and Experience:
Post-secondary education in Supply Chain Management, Logistics, Business Administration, or a related field (or equivalent experience).
Five years of experience in a logistics or administrative role, preferably within a manufacturing or distribution environment.
Proven knowledge of international logistics processes, Incoterms, and freight forwarding.
Hands-on experience with ERP software is required. Proficiency with courier shipping platforms (e.g., UPS WorldShip, FedEx Ship Manager,) is essential.
High proficiency in Google Workspace and Microsoft Office, particularly Excel (VLOOKUP, Pivot Tables) and Outlook.
Strong organizational skills with the ability to multitask in a fast-paced environment.
Excellent communication skills (written and verbal) for dealing with international vendors and carriers.
Problem-solving mindset with high attention to detail.
Nice to have:
Customs Knowledge: Familiarity with customs regulations, HS tariff classification, and brokerage procedures is highly advantageous.
Experience handling Dangerous Goods (DG) or hazardous materials.
