ROLE SUMMARY:
The Maintenance Manager oversees the portfolio-wide Preventative Maintenance Program and provides technical leadership and project coordination support for repair, capital, and construction initiatives.
Reporting to executive leadership and working collaboratively with Maintenance Supervisors, Property Managers, and Operations Managers, this role bridges site-level execution and portfolio-level planning. The Maintenance Manager ensures consistency, compliance, cost discipline, and technical reliability across all properties.
This is a middle leadership position with both hands-on technical involvement and oversight responsibility. The role supports asset performance, operational efficiency, and long-term capital planning.
Success in this role is measured by disciplined R&M spending, PM program effectiveness, utility savings, project coordination, budget and regulatory compliance, building condition, and maintenance team stability.
CORE RESPONSIBILITIES
Portfolio Maintenance Oversight
- Administer and continuously improve Maintenance Request and Preventative Maintenance programs
- Standardize maintenance practices and documentation across all properties
- Conduct routine and structured property inspections and provide written findings and recommendations
- Monitor building condition and identify emerging capital needs
Technical & Compliance Support
- Maintain working knowledge of applicable codes and regulations in each province of operation
- Support compliance with environmental, health, fire, and life safety, and other legislative requirements
- Provide technical guidance across all major building systems, including HVAC/mechanical, electrical, life safety, generator, elevator, building envelope, roofing, irrigation, and aquatic systems.
- Identify and assist in diagnosing complex building system issues, recommending preventative or corrective action as appropriate.
Capital & Repair Project Support
- Develop scopes of work and cost estimates for repair, capital and Preventative Maintenance Program initiatives
- Assist with budgeting, planning, and scheduling of repair and capital projects
- Review technical drawings, specs, manuals, consultant reports, municipal orders, proposals and invoices
- Oversee contractor and consultant performance, ensuring workmanship standards and deliverable quality
- Provide diligent project monitoring and reporting to ensure adherence to defined scope, budget, and timelines
Financial & Operational Performance
- Support annual budget preparation and capital forecasting
- Monitor R&M spending and identify cost-control opportunities
- Assist in tracking utility usage and identifying efficiency improvements
- Maintain inventories of key equipment, appliances, supplies, tools, and warranties
Team & Vendor Collaboration
- Provide direction and mentorship to Maintenance Supervisors
- Work collaboratively with Property Managers to ensure maintenance standards are upheld
- Build and foster effective working relationships with vendors and consultants
- Assist with implementation and optimization of maintenance-related software systems
Professional Conduct
- Maintain professional interactions with colleagues, residents, and contractors
- Participate in team and community initiatives as appropriate
- Perform other duties as assigned by executive leadership
DELIVERABLES & PERFORMANCE METRICS
- Monthly property inspections (BC)
- Quarterly property inspections (outside BC)
- Building and property upkeep
- Overall R&M expenditure and energy/utility performance improvements
- Preventative Maintenance Program effectiveness
- Capital projects coordinated within budget and schedule expectations
- Maintenance request turnaround time support
- Workmanship quality control monitoring
- Regulatory compliance and injury-free workdays
- Maintenance team retention and engagement
QUALIFICATIONS
- Bachelor's degree in Mechanical/Power Engineering or Facilities Management
- Professional Engineering designation considered an asset
- Minimum 5 years' experience in a multi-property, 1,000+ unit residential portfolio
- Strong working knowledge of multifamily building systems and operations
- Experience supporting capital projects and contractor coordination
- Ability to comprehend technical drawings, specifications, municipal orders, proposals, and invoices
- Strong work ethic, organized, practical, pragmatic, detail-oriented, solutions-focused, reliable, and dedicated
