Reporting to the Manager of Special Projects, the Project Administrator is responsible for coordinating administrative activities across multiple construction projects. This includes document control, project cost tracking, procurement support, timesheet review, and safety documentation management. The role ensures that project teams have the administrative support needed to operate efficiently, safely, and in alignment with contractual and company standards.
How You'll Add Value
- Provide day-to-day administrative support to Project Managers, Superintendents, and project teams
- Coordinate and maintain project documentation, ensuring consistency with contractual requirements and internal procedures
- Support document control processes including QA/QC records, safety documentation, training records, compliance documentation, and project correspondence
- Assist with project cost management including receiving, quantity tracking, and cost control documentation
- Create and maintain purchase orders and support project procurement processes
- Review and process timesheets to ensure accurate coding and timely submission
- Support quantity measurement and tracking for cost and production control
- Maintain ongoing communication with project teams to identify administrative needs and recommend process improvements
- Collaborate with field teams to ensure administrative practices support safe, efficient, and compliant project execution
What You Bring
- 2+ years of progressive project administration experience, preferably within construction or civil industrial environments
- Post-secondary education in a related field (e.g., Business Administration, Accounting, Engineering Technology) is an asset
- Proficiency with Microsoft Office and experience with software such as InEight, Microsoft Dynamics 365, and Bluebeam is an asset
- Strong ability to read and interpret specifications and project documentation
- Excellent organizational skills with high attention to detail and the ability to manage competing priorities
- Strong interpersonal and communication skills, with the ability to work effectively with both field and office teams
- Valid Class 5 Driver's License with a Driver's Abstract showing no more than 6 demerits and no major infractions
