JOB TYPE: Full-time, in office, to start immediately. This is an on-site position, all applicants must physically live in Ontario, Canada, with legal status to work in Canada.

JOB SUMMARY:

We are looking for an experienced Project Finance Coordinator to join the operations team.

The Project and Finance Coordinator will act as the critical link between our Projects Operations team and the Finance and Accounting Department. In this role, you will provide essential administrative support to project managers, coordinating project invoicing, tracking expenses, and ensuring seamless communication between teams. You will play a key role in maintaining accurate project documentation and financial records while supporting operational efficiency.

KEY RESPONSIBILITIES:

Liaison & Coordination

  • Serve as the primary point of contact between the Projects Operations team and the Finance Department.
  • Coordinate information flow and facilitate timely communication on project financial matters and updates.

Administrative Support

  • Provide comprehensive administrative assistance to project managers, including scheduling meetings, managing correspondence, and maintaining project files.
  • Assist in the preparation and processing of project invoices, ensuring accuracy and timely submission.

Financial Documentation & Reporting

  • Track project expenses and monitor budget adherence, collaborating with finance to reconcile costs and manage financial records.
  • Generate and distribute regular financial and progress reports for review by project managers and senior leadership.

General Support:

  • Assist in ad hoc projects and tasks as needed, contributing to the overall efficiency of the project management and finance teams.

QUALIFICATIONS:

  • Post-secondary education in Business Administration, Finance, Construction Management, or a related field is preferred.
  • A minimum of 3 years of experience in project coordination, financial administration, or a similar role within the construction or industrial sectors.
  • Proficiency in MS Office Suite (Word, Excel, Outlook) and familiarity with project scheduling software (e.g., MS Project).
  • Strong numerical aptitude with an ability to work with financial data and generate detailed reports.
  • Ability to read and interpret construction drawings and technical documents.
  • Experience with JONAS construction management software is an asset.
  • Strong organizational skills and meticulous attention to detail.
  • Excellent verbal and written communication skills, with the ability to effectively interact with internal teams, clients, and subcontractors.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Demonstrated problem-solving skills and a proactive approach to project challenges.

Job Type: Full-time

Pay: $55,000.00-$65,000.00 per year
