Purpose:
The Administrative Coordinator, Specialty, is an integral member of the Specialty Pharmacy team, focused on collaborating with internal cross-functional teams to support seamless patient access to specialty treatments and therapies. This role manages a range of administrative, clerical, and logistical functions, including maintaining patient records, performing accurate data entry, coordinating appointments, triaging communications, supporting reimbursement processes, and delivering high-quality communication to all stakeholders involved. This position will contribute to meaningful, patient-centered care by coordinating critical administrative and operational tasks to ensure timely access to specialty treatments.

Job Responsibilities:
Administrative Support
Receive and review incoming documentation and medical information via email and fax from prescribers, clinics, and healthcare partners.
Accurately create and maintain patient profiles within the CRM system based on received documentation and information.
Verify completeness of documentation and identify missing or unclear information for follow-up with prescribers or clinics.
Upload, organize, and securely store all incoming documents in the appropriate patient files, ensuring accuracy and confidentiality.
Assign follow-up tasks to the appropriate internal team members to support timely processing and continuity of care.
Support day-to-day Specialty Pharmacy operations by performing a range of administrative and logistical tasks, including documentation processing, task coordination, and workflow tracking, to ensure efficient and uninterrupted operations.
Participate in special projects and initiatives as assigned by management, providing administrative support and coordination to support evolving business and patient care objectives.
Manage, maintain and organize internal team files and processes within organization's web-based platform.
Operational Support
Work closely with Reimbursement Specialists, Pharmacy Assistants, and other internal cross-functional team members to coordinate end-to-end operational workflows supporting medication dispensing and patient support activities.
Serve as an operational liaison between teams, ensuring timely handoff of documentation, task assignments, and status updates to maintain workflow continuity.
Track and manage follow-ups, dependencies, and outstanding requirements to minimize processing delays and support on-time medication dispensing.
Coordination & Communication
Respond to incoming inquiries from patients, healthcare providers, and external stakeholders with warmth, professionalism, and efficiency.
Document communications accurately within the CRM to support operational continuity and visibility.
Support workflow efficiency by proactively identifying communication gaps or incomplete information and escalating as needed.
Adhere to all privacy and confidentiality requirements when accessing, managing, and sharing patient information.

Qualifications:
Post-secondary education in Medical Office Administration, Business Administration, Medical Terminology or comparable discipline is an asset.
Experience working in a medical office or clinic is an asset.
Skills:
Communication & Interpersonal Skills
Professional and strong verbal and written communication skills for correspondence physicians, specialists, nurses, allied health professionals, and external healthcare partners.
Ability to explain medical, administrative, and scheduling information to patients in a clear, empathetic, and culturally sensitive manner
Medical & Administrative Knowledge
Working knowledge of medical and/or pharmacy terminology, clinical documentation, and healthcare administrative processes, considered a strong asset.
Ability to interpret and process medical documentation and provide communications to support accurate data entry and administrative workflows.
Patient Support & Service
Experience in supporting patients with a strong focus on compassion, discretion, and professionalism; able to manage patient inquiries and concerns with empathy while maintaining efficiency.
Organizational & Time-Management
Capability to thrive while balancing competing demands and adapting quickly within a fast-paced, evolving work environment.
Technical & Systems Skill
Proficient in various Microsoft 365 applications, including Outlook, Word, Excel, Teams, SharePoint, and CRM or database platforms (e.g., Salesforce).
Professionalism & Team Collaboration
Team-oriented approach, with the ability to contribute effectively in both collaborative and interdependent settings.
