Job description:
The HR Coordinator provides administrative and operational support to the Human Resources department, assisting with recruitment, onboarding, employee records, and day-to-day HR activities. This role serves as a first point of contact for employees and supports the effective implementation of HR processes, policies, and programs. The HR Coordinator works closely with HR team members and internal stakeholders to ensure accurate documentation, compliance, and a positive employee experience.
KEY RESPONSIBILITIES & ACCOUNTABILITY
Performance evaluation and other related records;
Manage recruiting, hiring and onboarding processes;
Perform interviews, screens, and recruit for entry level, professional and technical job openings;
Ensure the compatibility of applicants to job positions;
Build and sustain beneficial relationships with employment agencies and educational institutions;
Attend recruitment fairs as requested;
Oversee adequate orientation and training within the organization;
Communicate policies, procedures, laws, standards and regulations;
Provide recommendations for HR policies and processes;
Administer Health and Safety procedures, including monthly inspections and quarterly meetings;
Administer and educate employees of benefits and maintain a sustainable relationship with insurance providers;
Administer hiring and training incentives;
Administer retirement, resignation, termination, layoffs and transfer procedures;
Draft termination letters, warning letter, agreements, recommendation letters etc.
Conduct effective exit interviews and provide management with analysis and recommendations;
Act as a first point of contact for workers;
Provide general information and assistance internally and externally over the phone, electronically and in person;
Administer and record employee recognition and incentive programs;
Oversee the adherence to wages, working hours and other regulations;
Manage position documentation and an evaluation system;
Maintain human resource data bases, computer software systems, and manual filing systems;
Maintain corporate structure by updating job requirements and job description for all positions;
Communicate and collaborate with HR department members representing other companies within the group to ensure alignment of HR practices, policies, and procedures
Complete other duties and projects as assigned by the Manager.
REQUIRED QUALIFICATIONS
College diploma or university degree in Human Resources, Business Administration, or a related field, or an equivalent combination of education and experience.
Minimum 2 years of experience in an HR administrative or coordinator role (co-op or internship experience considered an asset).
Basic understanding of recruitment, onboarding, and employee record management processes.
Experience supporting recruitment activities such as scheduling interviews, posting jobs, and coordinating onboarding documentation.
Familiarity with HR policies, employment standards, and workplace procedures.
Strong organizational skills with the ability to manage multiple priorities and deadlines.
High attention to detail and accuracy when handling employee data and documentation.
Strong written and verbal communication skills.
Ability to handle confidential and sensitive information with professionalism and discretion.
Proficiency with MS Office (Word, Excel, Outlook) and HRIS or payroll systems considered an asset.
Ability to work independently as well as collaboratively within a team.
Valid driver's license and access to a vehicle considered an asset.
