The Facilities, Fleet & Equipment Coordinator plays a critical role in upholding these values by ensuring our campus, equipment, and resources are always safe, ready, and professional.
Position Summary
The Facilities, Fleet & Equipment Coordinator is responsible for the day-to-day coordination and oversight of SFA's facilities, training equipment, and vehicle fleet. This role ensures that all physical assets support safe, efficient, and high-quality firefighter training.
Working closely with the Training Coordinator and leadership team, this position is essential to operational readiness, compliance, and the overall student and instructor experience.
Key Responsibilities
Facilities Management
Oversee the cleanliness, organization, and safety of all SFA buildings, classrooms, dormitories, and training grounds.
Coordinate janitorial and maintenance services with internal staff and external vendors.
Schedule and track regular inspections related to safety, accessibility, and compliance with applicable fire, health, and building requirements.
Support facility improvement projects, renovations, and installations as directed by leadership.
Ensure all facilities are maintained to a professional standard that reflects SFA's brand and training excellence.
Equipment Coordination
Maintain accurate inventories of firefighting and rescue training equipment, including PPE, SCBA, hoses, ladders, tools, and training props.
Develop and manage preventive maintenance schedules to ensure equipment compliance with NFPA standards and manufacturer requirements.
Coordinate inspection, testing, servicing, and repairs with approved vendors.
Ensure equipment is cleaned, staged, and stored appropriately before and after training activities.
Maintain detailed records of inspections, maintenance, repairs, and vendor work.
Fleet Management
Coordinate maintenance, inspection, and servicing of SFA vehicles, including fire apparatus, pickup trucks, and trailers.
Maintain accurate fleet records including vehicle logs, licensing, service schedules, fuel tracking, and safety certifications.
Schedule vendor service and inspections in accordance with legal and operational requirements.
Logistics Coordination
Work closely with the Training Coordinator to prepare for upcoming courses, ensuring facilities, equipment, and vehicles are ready for use.
Coordinate delivery, setup, and return of equipment and training props for on-site and off-site training.
Oversee the scheduling and performance of facilities and logistics staff to support daily operations and special events.
Maintain clear communication between departments to ensure smooth course delivery and campus readiness.
Administration & Compliance
Maintain accurate digital records including inspection reports, service documentation, vendor invoices, and maintenance logs.
Support budget tracking related to facilities, fleet, and equipment.
Ensure compliance with WSIB, Ministry of Labour requirements, and applicable NFPA safety standards.
Identify and promptly escalate facility, equipment, or safety concerns to leadership.
Create, track, and drive completion of 90-day priorities ("rocks") aligned with organizational goals.
Qualifications
Community College Program Diploma or Bachelor's degree preferred
At least 2 years of relevant project management/coordination experience
Must have a valid Canadian Class G or G2 driver's license with no more than two moving violations and/or at fault accidents within the last three years.
Must be authorized to work in Canada and not require work authorization sponsorship by our company for this position now or in the future.
Must be at least 18 years old.
Skills & Competencies
Strong organizational and coordination skills with the ability to manage multiple priorities.
Excellent communication skills and ability to work collaboratively across departments.
Proficiency in Microsoft Office and maintenance, inventory, or scheduling systems.
High attention to detail with strong recordkeeping and follow-up abilities.
Knowledge of facility safety and maintenance standards.
Experience or familiarity with firefighting, emergency services, or training environments is considered an asset.
Ability to lead, support, and motivate facilities and logistics team members.
Demonstrated professionalism, reliability, initiative, and problem-solving ability.

The work may involve irregular hours each week.
Physical activity is required, including the ability to lift up to 50 pounds.
Will require working both indoor and outdoors in all weather conditions.
