Salary Range: $75,000-$95,000
The posted salary range reflects varying levels of experience, from emerging professionals to those with several years of relevant experience. While the full range represents the potential earnings for the role, it is not typical for new hires to start at the top of the range. Placement within the range is based on qualifications, experience, and alignment with internal equity.
Role Overview
The Executive/Personal Assistant to the Principal provides trusted, discreet, and highly organized support with a primary focus on professional organization, administrative clarity, and follow-through. This role exists to manage and simplify administrative and organizational tasks, ensure priorities are flagged, information is organized, and important matters are completed on time.
This position requires a proactive, independent professional who can operate effectively with minimal direction, respect personal boundaries, and maintain a high degree of sensitivity and confidentiality. The ideal candidate will have excellent communication skills and the ability to multitask effectively. This role requires flexibility, a positive attitude, and a strong sense of responsibility in managing both professional and personal tasks. The incumbent must be able to work both in person and remotely, maintaining a suitable home office.
Core Responsibilities:
Administrative support
Proactively manage and organize emails, documents, approvals, and signature requirements; flag priorities and ensure timely follow-through and completion.
Prepare, draft, and coordinate materials, correspondence, reports, and presentations to support business and professional needs.
Maintain clear, well-organized electronic and physical filing systems, contact lists, and key reference information aligned with the Principal's preferences.
Scheduling and calendar management
Manage and coordinate the Principal's calendar to ensure efficient use of time, aligned with priorities, preferences, and business/personal objectives.
Track deadlines, action items, and longer-term commitments to ensure nothing is missed.
Support domestic and international travel planning, including coordination with the corporate flight operations team.
Vendor and service coordination
Coordinate and oversee contracted personal services, including housekeepers, pet sitters, veterinary professionals, cooks, trades workers, contractors, and banking/accounting/legal professionals.
Support research, candidate coordination, and selection of individuals and vendors for additional services, as needed.
Coordinate shipping to/from international destinations.
Special projects and additional support
Help organize and execute special events in coordination with other staff/stakeholders, ensuring successful planning and execution.
Support the tracking and cataloguing of specific assets, such as antique jewelry or other valuables.
Oversee personal wardrobe requirements, including organization for resale and donation.
Support any additional business- or personal-related tasks as required.
Working Style & Expectations:
Proactive, detail-oriented, and anticipatory in approach.
Comfortable managing workload independently without constant direction, including in a remote work environment.
Flexible and adaptable to changing priorities.
Workload may vary, and the role is not expected to require constant daily activity, depending on the Principal's needs and preference.
Able to maintain a high degree of discretion, professionalism, and sensitivity, always respecting personal boundaries.
Skills & Qualifications:
Minimum of five (5) years' experience in an Executive Assistant or Senior Administrative role supporting senior leadership.
Post-secondary education in administration, hospitality, or a related field is an asset.
Exceptional organizational and time-management skills with strong attention to detail.
Proven ability to handle confidential and sensitive information with discretion.
Strong written and verbal communication skills with all levels of executives, staff, and external stakeholders.
Service-oriented, calm, and solutions-focused.
Comfortable operating across professional and limited personal-support contexts while maintaining clear boundaries.
Must be comfortable working with pets.
High proficiency with email, document management systems, and common productivity tools (e.g., Microsoft Office, Zoom, Apple products).
A valid Class 5 driver's license and a clean driving abstract are required. An operational personal vehicle that can be used as needed to conduct the responsibilities of this role is considered an asset.
Additional Information
The normal work schedule will be 40 hours per week; however, the incumbent must be flexible with the willingness to work evenings, weekends, and holidays either on-site or remotely.
