Salary Range: $62,667 to $81,830 annually

The Grande Prairie Public School Division is seeking an Executive Assistant – Instructional Services to join the Division. The Grande Prairie Public School Division is a progressive school division with 18 schools, over 1000 employees and approximately 9000 students. The City of Grande Prairie, with a population of just under 70,000 people, is one of the youngest populations in Canada and is a busy and vibrant regional hub with the amenities of a much larger city. The Executive Assistant will provide high-level administrative, operational, and data management support to the instructional leadership team, including the Assistant Superintendents and Directors. The successful candidate will support complex data systems, Division-wide digital workflows, and assist in data and technology navigation. The Executive Assistant will ensure smooth daily operations, support strategic priorities, and represent the Division with professionalism, accuracy, and confidentiality.

Duties And Responsibilities Include But Are Not Limited To
Provide comprehensive administrative support to the instructional leadership team
Manage calendars, coordinate meetings, prepare agendas, take minutes, and oversee logistics (bookings, meals, room setup/cleanup)
Prepare correspondence, reports, presentations, and communications materials for the leadership team
Manage, organize, analyze, and prepare Division-wide data using Excel, Power BI, Dossier, and Copilot
Prepare Foreign Worker Student Acceptance Letters and student verification letters
Manage Administrative Procedures, forms, and procedural documents
Use and maintain the Division and School Portals effectively, collaborating with I.T. to optimize workflows, permissions, and information storage
Manage website content for Division and school sites
Support school leaders and Administrative Assistants with understanding and interpreting Provincial, Division, and school data, navigating reports, entering and extracting data, and other data-related tasks
Qualifications and desirable skills:
Two-year Administrative Diploma and/or two years of relevant post-secondary education
Minimum of five (5) years of experience as an Administrative or Executive Assistant, preferably in a school division or public-sector environment is preferred
High proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, OneNote, Publisher, Copilot) and related digital tools
Strong data management capabilities including extracting, analyzing, and preparing information from various systems
Skilled in taking accurate and comprehensive minutes
Strong attention to detail, with high levels of accuracy in proofreading and document review
Ability to anticipate needs and identify possible issues ahead of time, and the ability to proactively address those issues along with managing competing priorities or urgent tasks
Ability to be resourceful and find effective solutions to challenges by utilizing available tools and information
Ability to provide technical workflow guidance and troubleshoot digital systems used by schools
Other combinations of education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered
