THE OPPORTUNITY
We're seeking a dedicated Finance Manager to provide strategic financial leadership and ensure sound financial operations for Hamilton Food Share. This is an individual contributor role reporting directly to the CEO, working in close partnership with our external accounting firm. You'll join during an exciting period of organizational growth, including a planned building acquisition, and will play a key role in strengthening our financial infrastructure to support our mission of addressing food insecurity in our community.
KEY RESPONSIBILITIES
Financial Planning & Strategy
Lead annual budget development in collaboration with CEO and department managers
Prepare monthly and quarterly budget variance analysis with actionable insights
Develop multi-year financial projections and scenario planning to support strategic decision-making
Create financial models for strategic initiatives, including capital projects, program expansion, and operational improvements
Monitor cash flow and ensure adequate liquidity for operations and organizational growth
Develop key financial metrics and dashboard reporting for leadership and board oversight
Financial Reporting & Compliance
Prepare comprehensive monthly financial reports for CEO and quarterly reports for Board of Directors
Present financial updates to Board of Directors with clear, accessible explanations suited to diverse audiences
Ensure compliance with CRA registered charity requirements and ASNPO accounting standards
Oversee preparation and filing of annual T3010 Registered Charity Information Return
Prepare financial reports for municipal contracts, grants, and funders ensuring all funding requirements are met
Coordinate annual audit and serve as primary staff liaison to external auditors
Design, implement, and maintain internal controls and financial policies to safeguard organizational assets
Financial Operations Oversight
Oversee accounts payable and receivable processes ensuring accurate and timely transaction processing
Review monthly financial statements prepared by external accounting firm
Manage HST/GST reporting, remittances, and public service bodies rebate claims
Monitor and reconcile bank accounts and investment accounts
Provide financial oversight for payroll processing
Manage banking relationships and serve as primary bank contact
Approve and monitor grant financial reporting to ensure compliance with funder requirements
Systems & Process Management
Maintain and optimize QuickBooks system aligned with ASNPO requirements
Develop, update, and enforce financial policies and procedures
Ensure proper fund accounting for restricted grants and donations
Identify and implement process improvements and efficiency opportunities
Partner with external accounting firm on technical accounting matters and system optimization
Strategic Projects & Initiatives
Lead financial planning for strategic initiatives, including the current building acquisition project (capital budgets, funding strategies, financing options)
Develop pro forma operating budgets reflecting new or expanded operations
Analyze tax implications and opportunities (e.g., charitable property tax exemptions)
Track capital campaign contributions and manage restricted fund accounting
Provide financial analysis and decision support for special projects as assigned by the CEO
Support due diligence and financial integration activities for organizational partnerships or expansion opportunities
REQUIRED QUALIFICATIONS
Education & Experience
Bachelor's degree in Accounting, Finance, or related field
5+ years progressive accounting/finance experience with demonstrated growth in financial responsibility
3+ years nonprofit finance experience (registered charity experience strongly preferred)
Experience managing budgets of $3M+ and preparing full GAAP/ASNPO financial statements
Technical Skills
Strong technical accounting knowledge with proficiency in ASNPO standards
Experience with CRA registered charity compliance and T3010 preparation
Understanding of HST/GST rules for nonprofits and public service bodies rebate applications
Advanced QuickBooks proficiency
Expert Excel skills including financial modeling and complex analysis
Experience with grant financial reporting and compliance
Familiarity with audit processes and working with external auditors

PREFERRED QUALIFICATIONS
• Experience with capital projects or building acquisitions
• Knowledge of municipal and provincial government contract accounting
• Experience with municipal and provincial grant programs
• Food security or social services sector experience
COMPENSATION & BENEFITS
Salary
$85,000 - $95,000 annually (based on experience)
