Über
This role combines traditional executive assistant responsibilities with light operational and analytical support. The ideal candidate is process-driven, highly organized, comfortable working with data, and experienced supporting U.S.-based companies.
Core Responsibilities:
Calendar and meeting coordination
Email management and follow-up tracking
CRM updates and data integrity (HubSpot or similar)
Scheduling and communication with internal team members
Tracking KPIs, compiling reports, and assisting with profitability analysis
Updating and maintaining systems (Google Workspace, spreadsheets, basic dashboards)
Document formatting and organization
Following structured processes and SOPs precisely
Required Qualifications:
Fluent in both English and Spanish (written and verbal)
Ability to translate between me and some of my Spanish speaking employees
Strong proficiency in Google Workspace (Docs, Sheets, Drive)
High attention to detail and ability to follow written processes
Comfortable working with numbers and financial data (no coding required)
Professional communication skills
Preferred Qualifications:
Verified user of AI to streamline work
Experience with HubSpot, Connecteam, QuickBooks Online, or similar tools
Background in operations support, project coordination, or business analysis
Experience working with service-based or field-service companies
Prior experience supporting a U.S.-based business
We are looking for someone reliable, proactive, structured, and comfortable operating within defined systems and workflows.
Contract duration of more than 6 months. with 40 hours per week.
Languages: Spanish. You are expected to have a fluent level of English.
