This is an exciting opportunity to join Northland Properties, Canada's largest and fastest-growing privately owned hospitality group. We are seeking a highly organized and detail-oriented individual to fill the position of Executive Administrative Assistant for the Northland Restaurant Group. The ideal candidate will be able to provide high-level administrative support to the President & COO, Northland Restaurant Group, & Brand Presidents (Moxies, Denny's, Chop).
Responsibilities
Manage the executive team's calendars, including scheduling appointments, arranging and optimizing travel, and coordinating meetings.
Debit notes on period-end items.
Enable remote decision-making, keeping projects on track, including the planning and coordinating of events, (e.g., meetings, conferences, and company gatherings).
Draft and proofread correspondence, communication memos, sales results, and other written materials as required by the executives.
Ensure that meetings begin on time with prep material delivered in advance.
Answer and screen calls, take messages and respond to inquiries when appropriate.
Maintain and organize files, records, and other documents.
Update and manage organizational charts.
Track performance tools and communicate results.
Process and track expense reports, invoices, and other financial paperwork.
Liaise with other departments, external partners, and vendors as necessary.
Perform research and prepare reports as needed.
Manage special projects as assigned by the direct managers, the Restaurant Group, and Northland Living leaders.
Provide general administrative support as required.
Enter expense reports.
Reception coverage during lunch hours or as needed at the front desk.
Requirements
Minimum of 2 years of experience in an administrative or executive support role.
Excellent organizational, time management, and problem-solving skills.
Strong attention to detail and accuracy.
Ability to prioritize tasks and manage multiple projects simultaneously.
Exceptional written and verbal communication skills.
Proficient in Microsoft Office (Word, Excel, PowerPoint)
Ability to maintain confidentiality and discretion with sensitive information.
Professional demeanour and strong interpersonal skills.
