Über
We currently manage approximately 52 residential apartments along with a small number of commercial spaces. We believe we're doing a good job, but we know we're operating like a "small shop," and we want to implement best practices, professional systems, and clear KPIs before we grow further.
This project has three primary parts:
A full operational audit of our property management processes
A Buildium audit to ensure we're using the platform correctly and efficiently
3. Team Roles + Responsibility Alignment (Small Team Optimization)
What We Need Help With
1) Operations Audit
We want a full review of how we currently manage:
• Tenant onboarding + leasing workflow
• Maintenance request flow + vendor management
• Rent collection + delinquency process
• Move-in / move-out process
• Unit turns
• Communication standards (tenant + internal)
• Monthly reporting
• Budgeting + property-level P&Ls (if applicable)
Deliverables should include:
• A written audit summary
• Key gaps + improvement opportunities
• Recommended SOPs / workflows
• KPI recommendations (and how to track them)
2) Buildium Audit + Best Practices Setup
We use Buildium and want to make sure we're getting full value from it.
We're looking for someone who can:
• Audit our Buildium setup and usage
• Identify missing features / modules we should be using
• Recommend best practices for workflow automation
• Improve reporting, maintenance tracking, leasing workflow, and communication tools inside Buildium
• Provide a clear 30 / 60 / 90 day plan to implement improvements
3) Team Roles + Responsibility Alignment (Small Team Optimization)
In addition to systems and Buildium optimization, we are also looking for guidance on how to best structure responsibilities across our current support team.
We currently have:
• An on-the-ground part-time administrative support person
• A virtual assistant
We'd like the right consultant to review how we're currently delegating tasks and recommend:
• The best division of responsibilities between these two roles
• What each person should own day-to-day vs. weekly/monthly
• How to align duties with each person's strengths
• What tasks should stay with ownership vs. be delegated
• A recommended "future org chart" as we scale
The goal is to ensure our current team is being utilized effectively, with clear ownership, accountability, and smooth workflows.
Contract duration of 1 to 3 months. with 30 hours per week.
