Senior Bookkeeper (Multi-Entity Cleanup + Systems Implementation)
Overview
We are seeking an experienced Senior Bookkeeper to clean up and organize financial records for two operating businesses (trucking company and rental car company).
This role will focus on historical transaction cleanup (2021–Present), reconciliation, entity separation, and implementation of ongoing bookkeeping systems to support growth, financial clarity, and strategic decision-making.
This is initially a project-based cleanup role with potential for ongoing monthly engagement.
Scope of Work (Phase 1: Cleanup)
• Reconcile all bank and credit card accounts from January 2022–Present
• Separate and properly categorize transactions for two distinct businesses
• Create and implement an optimized Chart of Accounts for:
Trucking operations (fuel, contractor pay, maintenance, insurance, tolls, etc.)
Rental car operations (vehicle purchases, Stripe income, repairs, insurance, etc.)
• Reconcile:
ADP payroll reports
Contractor payments (1099)
Stripe income
Zelle/PayPal transactions
• Identify uncategorized or unclear transactions and flag for review
• Ensure books are tax-ready and CPA-ready
Deliverables:
Clean Profit & Loss by month (2022–Present)
Clean Balance Sheets
Cash Flow clarity
Separate reporting by entity
Summary of expense categories + trends
Phase 2 (Ongoing – If Retained)
• Monthly reconciliation
• Financial reporting (monthly P&L + cash flow summary)
• Vendor expense tracking
• Assistance with 1099 tracking
• Financial organization support for growth initiatives
Qualifications Required
• 5+ years bookkeeping experience
• Experience with businesses doing $1M+ annual revenue
• Strong understanding of trucking or fleet-based operations preferred
• Experience separating multiple entities within shared accounts
• Proficiency in:
QuickBooks Online (preferred)
ADP payroll reporting
Stripe reconciliation
• Strong reconciliation skills
• Detail-oriented and proactive communicator
Ideal Candidate
• Has cleaned up multi-year books before
• Understands high-transaction businesses
• Thinks in systems, not just categories
• Comfortable working with business owner who wants financial clarity and optimization
• Can suggest process improvements
Compensation
Project-based cleanup (to be quoted after review of scope)
Ongoing monthly retainer (if continued)
