Top Shelf Logic is a fast-growing marketing intelligence and consulting firm working with law firms, home service companies, and enterprise brands.
We are not a small freelancer shop.
We operate with structured SEO systems, paid media, content teams, dev teams, and executive-level consulting.
We are looking for a Client Operations Manager who will own onboarding, internal coordination, and client flow.
This is not a task-doer role.
This is an ownership role.
If you need micromanagement, this is not for you.
What You Will Own
1. Client Onboarding (First 120 Days)
Collect billing (ACH / CC)
Ensure contracts are signed and stored
Confirm domain access, hosting access, Google access
Ensure SEMrush setup is complete
Confirm analytics + tracking (post-launch)
Coordinate kickoff calls
Ensure internal handoffs are clean
If a client signs, nothing should fall through the cracks.
2. Internal Coordination
Manage task flow inside Asana
Ensure no task sits overdue over 5 days
Follow up with SEO, content, dev, and ads teams
Organize priorities across departments
Escalate issues before they become fires
You are air traffic control.
3. Billing & Payment Follow-Up
Monitor aging reports
Send reminders at 10 / 15 / 20+ days
Coordinate with bookkeeper
Keep billing professional and structured
Remove billing from CEO's plate
4. Client Communication
Manage inbound support emails
Route requests properly
Protect CEO's calendar
Ensure response times less than 24 business hours
What This Is NOT
Not a basic VA
Not a social media role
Not a content writing role
Not a bookkeeping-only role
Not a junior assistant position
This is an operations backbone role.
Ideal Background
5+ years in agency operations, marketing ops, or client services
Comfortable with:
Asana
Google Workspace
SEMrush (or similar SEO tools)
QuickBooks basics
Strong written communication
Professional tone
Comfortable talking to attorneys, business owners, enterprise clients
Personality Traits
Calm under pressure
Extremely organized
Proactive (doesn't wait to be told)
Not emotionally reactive
Detail-oriented
Understands structure and systems
Important
You will work directly with the founder.
We are scaling fast.
We need stability, structure, and sanity.
