Job Summary
University Libraries support and advance learning and research endeavors by providing collections, facilities and services that expedite access to the world's information and knowledge. Reporting to the Dean of Libraries provides oversight and advise for the management and implementation of information governance activities related to data and information supporting administrative records. The incumbent is responsible for the evolution of the university-wide records management program for the University's administrative records in all formats: paper, electronic and digital, and other media.
Key Responsibilities
Design, implement, and continuously improve a comprehensive records management program that ensures compliance with legislation, regulatory standards, and best practices across the University. Champion policy development and governance frameworks that support consistent, secure, and efficient information management.
Create and update classification and retention structures, guidelines, and training resources to standardise records management practices. Ensure privacy and information security requirements are embedded in all processes and systems.
Conduct assessments of data, records, and business operations to determine institutional value and lifecycle requirements. Use insights to prioritise programme initiatives, improve efficiency, and support strategic decision-making.
Act as the University's subject matter expert on records and information governance. Deliver consultations, workshops, and presentations to senior leadership, departments, and faculty offices to drive compliance and adoption of best practices.
Lead planning and execution of records-related projects, ensuring clear scope, stakeholder engagement, and adherence to timelines and quality standards. Oversee training and provide guidance throughout project delivery.
Supervise staff in the Records Management Office.
Note
Due to operational requirements, the successful applicant is required to work in-person on campus.
Required Qualifications
Undergraduate degree in relevant field with five years' experience working in a records and information management environment (or an equivalent combination of training and experience).
Strong information technology skills related to databases and electronic storage application and systems, specifically Microsoft Office suite of products (i.e. SharePoint and related applications), along with personnel and corporate computing devices.
Experience in management of people and projects, with strong leadership skills, willingness to share expertise, work in teams and negotiate solutions with diverse groups
Excellent oral and written communication skills,
Proven ability to assess, evaluate, and update quantitative and qualitative performance metrics, benchmarks, and indices for all activities.
Proven ability to create and deliver effective training and presentations on records and information governance related topics.
Assets
Certifications related to this field of work, such as ARMA Certified Records Manager ( CRM ), Information Governance Professional ( IGP ), and/or AIIM Certified Information Professional designation.
Master's degree in information management/governance field.
