As our firm continues to grow, we are seeking an exceptional Executive Assistant / Office Administrator to act as a trusted partner to the Managing Partner and a steady operational anchor for our Vancouver office. This is a role for someone who takes pride in clarity, discretion, and excellence — and who understands that great executive support is both strategic and quietly indispensable.
The Role
Reporting directly to the Managing Partner and the Senior Manager Business Operations, you will provide high-level executive assistance while also overseeing the day-to-day administration of a professional office supporting approximately 20 people. You are highly organized, anticipatory by nature, and comfortable operating with autonomy and sound judgment.
You notice what others miss, think two steps ahead, and communicate with precision — whether drafting correspondence, coordinating complex schedules, or keeping the office running smoothly behind the scenes.
Key Responsibilities
Executive Assistance
Provide confidential, high-level support to the Managing Partner
Manage complex calendars, meetings, and scheduling with accuracy and foresight
Prepare polished correspondence, documents, and presentations
Coordinate meetings, agendas, materials, and follow-ups
Serve as a key liaison between leadership and internal and external stakeholders
Support ad hoc initiatives and special projects as required
Office Administration & Coordination
Oversee daily office operations and administrative workflows
Manage office supplies, vendors, facilities, and event coordination
Support employee onboarding and offboarding logistics
Maintain shared documents, templates, and internal resources
Assist with internal communications, team events, and process coordination
Contribute to continuous improvement of administrative systems and practices
Qualifications & Experience
2+ years' experience in an Executive Assistant and/or Office Administrator role
Demonstrated experience supporting senior executives or partners
Exceptional organizational, time-management, and prioritization skills
High level of professionalism, discretion, and attention to detail
Experience in a professional services or consulting environment
Proficiency with Microsoft Outlook, including complex calendaring and delegated mailboxes
Advanced proficiency with Microsoft Office and collaboration tools
Outstanding command of written and spoken English, with the ability to produce clear, fluent, and impactful prose
Additional Assets
Exposure to HR, finance, marketing, or project coordination
Experience with QuickBooks Online
Comfort working across multiple functions in a lean, fast-moving environment
