Position Overview
We are a founder-led, small but growing team seeking a detail-oriented and highly organized Bookkeeper Assistant to become a long-term part of our team. This role supports accounting operations across multiple clients and industries and requires accuracy, reliability, and strong communication skills.
The position is responsible for transaction entry, expense categorization, reconciliations, financial reviews, light journal entries, and preparing files for handoff to senior accounting staff.
The ideal candidate is highly proficient in QuickBooks Online, adaptable to additional accounting platforms such as Zoho Books, and comfortable working within project management systems to ensure deadlines and workflows are consistently met.
Key Responsibilities
Record and manage daily financial transactions.
Accurately categorize income, expenses, assets, and liabilities.
Perform monthly bank and credit card reconciliations.
Review financial data for accuracy and completeness.
Prepare financial files and documentation for accountant review and client handoff.
Assist with light journal entries, including accruals, adjustments, and reclassifications as directed.
Maintain organized digital documentation and audit trails.
Collaborate with team members using project management software.
Communicate with clients to resolve discrepancies when needed.
Required Skills and Qualifications
Strong proficiency in QuickBooks Online is required.
Working knowledge of Zoho Books is preferred.
Experience supporting multiple industries and business models.
Solid understanding of bookkeeping principles.
Experience with project management software such as Asana, ClickUp, Monday, or similar platforms.
High attention to detail and strong organizational skills.
Ability to manage multiple client accounts simultaneously.
Clear written and verbal communication skills.
Comfortable learning and adapting to new software platforms.
Preferred Qualifications
Two or more years of bookkeeping experience.
Experience working in an accounting firm or multi-client environment.
Associate's or Bachelor's degree in Accounting, Finance, or related field.
Strong Excel or Google Sheets skills.

What Success Looks Like
Clean, reconciled books delivered on time.
Minimal corrections required by senior accountant.
Organized and complete financial documentation.
Smooth handoff processes.
Consistent workflow tracking within project management systems.
Contract duration of less than 1 month. with 30 hours per week.
