This engagement requires a professional with strong API architecture experience and a clear understanding of data security in a professional services environment. Our firm operates under strict confidentiality obligations. All integrations must preserve attorney-client privilege and comply with the Washington Rules of Professional Conduct. No client-identifying or privileged information may be exposed to unauthorized third-party systems.
Scope of Work
The objective is to create a unified, secure, and well-documented automation ecosystem connecting the following platforms. The specialist will:
• Audit existing workflows
• Identify automation opportunities
• Design integration architecture
• Implement and test production-ready connections
• Document all data flows and security controls
Primary Platforms & Integration Goals
Clio (Practice Management)
• Bidirectional sync with Slack
• Automated billing notifications
• Client portal monitoring alerts
• Matter status dashboards
• Integration with Claude AI for operational (non-privileged) reporting
Plaid (Financial API)
• Secure connection to firm operating and trust accounts
• Real-time transaction monitoring
• Automated trust account activity alerts
• Data feeds for accounting reconciliation systems
Claude AI (Anthropic)
• Configure as the firm's authorized AI platform
• Integrate approved Clio data feeds, Slack channels, email, and calendar systems
• Enable AI-assisted operational briefings and workflow coordination
• Strict controls to ensure no privileged or client-identifying data is exposed
Zapier (Automation Hub)
• Audit and optimize existing workflows
• Expand current integrations (Clio → Slack billing and portal alerts)
• Build new automations for intake routing, compliance notifications, and cross-platform alerts
• Implement error handling and monitoring procedures
Slack
• Ensure existing automated channels are functioning correctly
• Build additional automation channels as needed
• Establish clean routing logic and permissions controls
Google Workspace
• Calendar integration
• Gmail monitoring for operational flags (non-privileged)
• Google Drive automation where appropriate
AppFolio (Property Management)
• Connect operational and financial reporting data to internal dashboards
Required Qualifications
• Demonstrated experience building complex Zapier workflows with 10+ connected applications
• Experience with custom webhooks, multi-step Zaps, filters, branching logic, and error handling
• Strong REST API knowledge, including OAuth flows and webhook architecture
• Ability to write custom code steps in Zapier (JavaScript or Python)
• Direct experience with Clio Manage API (matters, billing, contacts, calendar endpoints)
• Experience integrating Plaid API for transaction and balance monitoring
• Clear understanding of data security principles in legal or professional services environments
• Ability to document systems thoroughly (data flow diagrams, credential handling, rollback plans)
• Strong communication skills and ability to translate business requirements into technical specifications
• Availability for discovery (5–10 hours) followed by phased implementation (40–80 hours estimated)
Preferred Qualifications
• Prior experience working with law firms or legal technology platforms
• Experience with Anthropic's Claude API (tool use, system prompts, MCP configuration)
• Familiarity with AppFolio integrations
• Experience with LawPay or similar payment processors
• Familiarity with Washington State data privacy standards

2. Production-Ready Zapier Workflows
• Fully tested in staging before deployment
3. Secure Clio–Claude Integration
• Limited to authorized operational data
4. Plaid Trust Account Monitoring
• Automated alerts routed to designated compliance personnel
5. Documentation & Training
• Written documentation sufficient for internal monitoring and troubleshooting
• One remote training session for firm leadership
6. Security Review Summary
• Written confirmation that all integrations comply with firm security requirements
• Confirmation that no privileged data is exposed to unauthorized systems
Engagement Structure
This is a contract engagement, not a full-time role.
• Audit existing workflows
• Assess API capabilities
• Deliver written implementation plan, timeline, and cost estimate
• Build, test, and deploy integrations
• Provide documentation
• Conduct leadership training session
Contract duration of 1 to 3 months. with 30 hours per week.
