TEAM LEADERSHIP & MANAGEMENT

  • Effectively interacts with, motivates, and influences individuals across organizational boundaries, including those without direct reporting lines. Manages complexity with multiple and competing priorities while fostering collaboration, resolving conflicts, and influencing outcomes without formal authority.
  • Leads and mentors project teams, ensuring accountability and high performance throughout the project lifecycle. Provides strong support from initiation through delivery and oversees the development of comprehensive project documentation including proposals, charters, plans, schedules, resource allocations, business cases, and performance metrics. Cultivates a collaborative and results-driven team environment.
  • Coaches and educates stakeholders on project management methodologies, tools, and best practices to build organizational capability.
  • Demonstrates strategic thinking and the ability to develop and assess strategies, making informed decisions based on trade-offs and long-term impact.
  • Maintains a strong customer focus by managing stakeholder expectations and developing productive, value-driven partnerships.
  • Possesses deep understanding of business needs, with the ability to build and sustain trust and confidence at all levels of the organization.

PROGRAM GOVERANCE

  • Oversees the Project Management Office (PMO) intake process for new project requests from the business. Evaluates submissions based on quantitative justifications, including user value, projected timelines, risk assessments (with mitigation strategies), and a structured ranking system. Facilitates review by the PMO and senior leadership prior to Engineering and IT engagement, helping to strengthen alignment and collaboration between business leaders, Product Agility teams, and IT.
  • Integrates Scaled Agile Framework (SAFe) methodologies into PMO practices. Partners with the business to define minimum viable products (MVPs), understands program increment (PI) development cycles, and establishes escalation procedures for addressing delivery obstacles.
  • Brings a strategic mindset with the ability to align project and portfolio initiatives with overarching organizational goals and long-term business strategies.
  • Leads the end-to-end execution of complex, high-impact projects and programs within Canada. Coordinates across cross-functional stakeholder groups to gather input, secure buy-in, and ensure on-time, on-budget delivery.
  • Promotes Quality Driven Management (QDM) and modern project management practices to enhance solution delivery while adapting to evolving business needs. Serves as an advocate and educator for advanced PMO capabilities across the enterprise.
  • Develops and maintains an enterprise project portfolio, including performance metrics and portfolio roadmaps, to ensure visibility and alignment with business objectives.
  • Enhances transparency of portfolio and project execution across all business units through the implementation of standardized governance processes and the delivery of clear, actionable scorecards at the organizational, business unit, and team levels.

FACILIATION & COMMUNICATIONS

  • Manages and coordinates cross-functional project teams, including internal business stakeholders as well as external customers and vendors, to ensure seamless collaboration and execution.
  • Clearly communicates project needs, objectives, key activities, and actionable deliverables to all relevant stakeholders.
  • Demonstrates strong written, verbal, and presentation skills to effectively communicate complex concepts, strategies, and project updates to diverse audiences.
  • Facilitates discussions, workshops, and decision-making sessions across multiple organizational levels and cross-functional teams to ensure alignment and clarity.
  • Builds and maintains strong interpersonal relationships, working collaboratively with colleagues across various disciplines, backgrounds, and organizational levels—from frontline team members to senior leadership (VP and above).

PROBLEM SOLVING & RISK MANAGEMENT

  • Addresses complex, cross-functional business challenges by leveraging strong analytical and technical problem-solving skills. Analyzes data and presents insights to senior leadership to support well-informed, strategic decision-making.
  • Applies creativity and resourcefulness to overcome obstacles, delivering innovative solutions to complex problems. Demonstrates a strong understanding of relevant methodologies and frameworks, applying them strategically to drive effective outcomes.
  • Oversees the timing and progress of critical project milestones, proactively identifying and resolving roadblocks. Ensures quality control throughout the project lifecycle and manages post-project reviews, including tracking and reporting key metrics and lessons learned.

REPORTING & ANALYSIS

  • Regularly prepares and communicates concise project summaries, status updates, and issue escalations to senior leadership and key stakeholders to ensure transparency and alignment.
  • Provides actionable recommendations to address project team challenges, fostering timely resolution and maintaining project momentum.
  • Demonstrates a strong, metric-driven approach to continuous improvement, leveraging Key Performance Indicators (KPIs) to evaluate and enhance project outcomes.
  • Consolidates and analyzes project data to support timely and informed decision-making across all levels of the organization.
  • Consistently delivers measurable project results, including: 1. Improved customer satisfaction 2. Enhanced product or service quality 3. Reduction in process defects 4. Increased process efficiency 5. Cost savings 6. Revenue growth

PLANNING, MONITORING & DOCUMENTATION

  • Project Documentation & Progress Tracking: Establishes and maintains comprehensive project documentation and reporting systems to monitor project and portfolio progress, outcomes, and alignment with organizational goals.
  • Ensures each project is fully documented with a project charter, defined scope, timeline, deliverables, stakeholder mapping, and adherence to the Quality Driven Management (QDM) ABLE process. Captures best practices, identifies dependencies, and assesses associated risks.
  • Defines and tracks key project metrics, including resource utilization, overdue tasks, critical milestones, costs, and issue resolution to ensure transparency and accountability.
  • Applies project management tools and industry best practices to deliver projects on time, within scope, and within budget.

Knowledge, Skills and Abilities required

  • Bachelor's degree required, or equivalent combination of education and industry-related experience.
  • Project Management Professional (PMP) certification preferred.
  • Certified QDM Expert or equivalent (e.g., Six Sigma) required.
  • Canadian Customs Specialist (CCS) certification or CBSA professional designation required.
  • Minimum of 8 years of progressive professional experience in Operations, Engineering, Quality, or Project Management.
  • Experience in freight forwarding, logistics, or supply chain management is considered an asset.
  • Working knowledge of SAFe (Scaled Agile Framework) methodologies.
  • Proficient in Microsoft tools, including Visio, Project, Outlook, Excel, PowerPoint, Word, Teams, Zoom, and SharePoint.
  • Highly self-motivated with a proactive, goal-oriented mindset.
  • Strong leadership and influence skills; ability to motivate, coach, and guide teams without direct authority.
  • Proven ability to facilitate discussions across all organizational levels, including cross-functional teams and operating companies.
  • Excellent communication skills—written, verbal, and presentation.
  • Demonstrated strength in organization, interpersonal communication, and time management.
