Job Description

Jack Link's in Canada is located Mississauga Ontario. This is a great opportunity for a highly organized Executive Assistant to be part of tight knit Team. We are seeking a highly organized and proactive Executive Assistant to provide high‑level administrative and operational support to the Canadian leadership team. The EA will manage complex scheduling demands, coordinate cross‑functional communication, and act as a trusted partner who ensures the organization runs efficiently.

DUTIES AND RESPONSIBILITIES (Essential Job Functions)

The duties and responsibilities of this position shall consist of, but not be limited to, the following:

  • Manage team calendars, coordinate meetings, and ensure time is used effectively.
  • Prepare meeting agendas, presentations, reports, and take minutes as needed.
  • Manage confidential documents and maintain organized filing systems.
  • Arrange detailed travel itineraries, accommodations, and trip documentation.
  • Assist with expense reporting and budget tracking across each channel of business.
  • Serve as the primary liaison between company and internal/external partners.
  • Coordinate cross‑team communications to ensure clarity and alignment.
  • Coordination vendors for office supplies, equipment and services, ensuring cost effectiveness.
  • Procures all materials, supplies and parts necessary to maintain the office and our remote employees.
  • Manage and maintain all equipment, furniture, and security to provide a safe working environment.
  • Identify operational gaps and assist in problem‑solving to keep priorities on track.
  • Organize and coordinate communication of our Jack Links Canadian HR Policies ensuring that our employees are regularly informed of policies and procedures to support their daily work.

Qualifications

Required Qualifications:

  • Bachelor's degree or equivalent combination of education and experience
  • 3 years relevant EA experience
  • Experience in coordinating regular team information, policies and communication
  • Experience developing maintenance and asset management programs
  • Proficient with Microsoft Excel, PowerPoint, Word and Outlook

Preferred Qualifications:

  • Knowledge of workplace safety standards, regulatory requirements, and industry best practices.
  • Building or property management experience a plus.
  • Experience in maintaining a secure and compliant office environment through HR policies.
  • Some experience in communicating and coordinating HR policies is an asset.

REQUIRED SKILLS, KNOWLEDGE AND ABILITIES

  • Excellent verbal and written communication skills; must work effectively with all levels of management and employees
  • Must demonstrate effective leadership, problem solving, presentation, and Team Member motivational skills
  • Demonstrated organizational and time management skills
  • Ability to anticipate and coordinate multiple projects and assignments in order to meet deadlines
  • Ability to prioritize and manage multiple projects
Additional Information

The salary range for this role is $68 ,000 – $85,000(Annually). Actual salaries will vary based on several factors, including but not limited to external market data, internal equity, location, and candidate skill set and experience. Base pay is just one component of Jack Link's Total Rewards package for Team Members. Other rewards may include annual incentive and program-specific awards. Jack Link's provides a variety of benefits to eligible Team Members, including medical, dental and vision benefits, life and disability insurance, 401k participation, paid holidays, and paid time off.
